Document Sharing

Graduate Students

  • If you've produced a document that you want me to evaluate and/or provide feedback on, please share it with me as a BGSU Microsoft OneDrive Document. One way to do this is to log into your BGSU email on the web, select the app launcher icon [upper left corner], and select OneDrive.

  • Please avoid sending such documents to me as attachments, since this results in a proliferation of various versions of the document (each with a different set of comments and tracked changes), inevitably resulting in lost, misplaced, or disorganized work. If you do email me an attached document, I'll likely put it in my OneDrive account and share it with you.

  • Note that It's possible to sync-to-the-cloud a file that's on your hard drive, and share it with other in such a way that the file is accessible both on the hard drive and in the cloud. However, syncing has been error prone in the past; people have lost data.

  • It's claimed that the newest version of Microsoft Office has syncing that's less error prone, but a perhaps-safer alternative is to rely on documents that exist only in the cloud, and select "open in desktop app" when you need the full functionality of the desktop version.

    • Use the Correct Version of Microsoft Office

        • You may experience poor performance, including data loss, if you "open in desktop app" using an old version of BGSU's Some features, such as "marking comments, 'Done'", will not work right unless you have BGSU's (free) Office 365 installed on your computer!

      • Editing

      • To edit the shared file, go to your Outlook Email on the Web, select the Office 365 Apps icon (the grid in upper left), and click OneDrive in the launch bar.

      • Navigate to the file you want to edit, open it on the web.

      • Optionally, you may select EDITING/REVIEWING/VIEWIG, EDIT IN DESKTOP APP.

      • When Editing in the 'Desktop App'

        • You'll get poor results unless you have already installed BGSU's Office 365 on your computer.

        • You must periodically click the SAVE button in order to save your work (saving is not automatic--or hasn't been, thus far--the way it is on the web).

        • Do NOT 'save as' (unless you're merely making an archive of the already-saved shared document), because that will just create a duplicate, non-synchronized, non-shared copy of the file somewhere on your hard drive.

        • Please do not delete any of my comments and tracked changes from a shared document (you may mark them "done" instead, or I myself will mark them "done").

    • Notifications

      • Office 365 notifies you if someone @mentions you in a comment or replies to your comment.

  • Use Desktop Syncing with Caution

It is possible to set up OneDrive Syncing of your hard drive to the cloud. However, this can be complex and can result in data loss if you're not careful.

    • Check to make sure you are using the new rather than the old desktop sync client:
