2. YOUR ESSENTIAL GEAR, for your health & safety (Checklist for arrival)
Hi-Viz Jacket: MUST be worn at all times. Collect from the Information Stand.
Mobile Phone: Fully charged.
Clothing: Suitable for rain, wind, or sun.
Extras: Umbrella, sunscreen, & snacks. We will provide bottled water located in the pavilion, help yourself.
Motorcyclists: Bring a wooden block for your stand (parking is on grass).
3. SITE MAP & LOCATIONS
Familiarise yourself with these areas immediately upon arrival.(see map)
On arrival, you should make yourself aware of the locations. It’s important that you are able to direct visitors and traders to these locations.
Please make yourself aware of the Showground Plan, Parking Areas 1, 2, 3 and 4, the Traders Car Park and areas allocated for Blue Badge Parking.
Be aware of Exhibitors wanting to drop off exhibits. They use car park AP2, (near fairground - follow orange arrows on signs, exit by top of field NOT by coming back to entrance). (20 minute limit as parking is for blue badge visitors.)
Information & Support
Information Stand: Inside the Yorkshire Wildlife Park Children's Entertainment Marquee. (at entrance end, marked with yellow banner) This is where lost/found children, vulnerable persons, lost property, crime reports, and complaints should be directed.
· First Aid: Opposite main entrance by catering stands.(marked with green banners)
· Toilets: Two trailers near the Pavilion (also accessible toilet/baby change units). Additional facilities near the Eagle & Child Festival tent.
Parking Areas
· Marshal Parking: Use Visitors Car Park.
· Public Parking: Areas 1, 2, 3, and 4.
· Trader Parking: Designated Traders Car Park. (car parks “M” and “T” on plan) Traders have a ‘car pass’ colour coded route on field, and authorised parking area. Car Park M, Craft Traders, managed by Mandy Tuite and Dave Coulson from 7.30am
· Blue Badge: Reserved disabled parking (Strictly enforced). AP2 (Orange route) near Festival marquee, direct here first. Also AP2 for Exhibitors Drop Off (20 minutes only) until 10:30 managed by Isabelle Perry and Zack. AP1 at rear of C block is used after all stalls set up. Fill from entrance end.
· Bicycles: Secure at security fencing near the Pavilion.
· Taxi Drop-off: Outside 29 Ravenswood Drive, DN9 3PA.
Traffic Management
· Direct vehicles smoothly to allocated spaces.
· Park vehicles tidily to maximize space.
· Enforce the 5mph speed limit throughout the site.
· Discourage reversing where possible (driver visibility is poor).
Security & Vigilance
· Threat level is now “Severe”; incidents are likely at any time.
· ACT (Action Counters Terrorism): Trust your instincts. If something feels wrong, report it immediately to the Team Leader or Information Point.
· Check trader passes where required, these are issued for those entering field showing a colour coded route and where they may park.
· Report suspicious behaviour or security risks.
· In the event of an incident follow instructions, remember “Guide, Shelter, Report”
Blue Badge Protocol
· Only allow verified Blue Badge holders into designated spaces.
· Discretion: If a visitor has mobility issues but no pass, allow them to be dropped off on the showground, preferably by entrance so that vehicle does not need to enter field, (they would then follow entire perimeter track to exit.) The driver should then move to general parking.
· Ensure extra space is left for Blue Badge vehicles to alight passengers.
Critical Rules
· EMERGENCY RV AREA: The tarmac entrance area MUST remain clear at all times. This is for Emergency Vehicles only.
· Perimeter: Keep the perimeter clear for emergency access. Exception: If Blue Badge parking is full, cars may park nose-to-tail on the perimeter route, but must leave room for other vehicles to pass.
· No Fires/BBQs: Strictly prohibited in car parks and Riverside Park.
· Ground Conditions: Grass can be slippery when wet. Ensure vehicles keep moving slowly.
Emergency Contacts
· Stuck Vehicle: Contact Neil Woodward or Howard Hill (Tractor/Straw available).
· Medical/Crime: Direct to Information Point or First Aid.
Key Times
· Peak Arrival: 1:30 PM – 2:00 PM
· Departures Begin: ~2:30 PM
· Last Arrivals: ~4:00 PM
· Show ends 5:00 PM
Full Car Park Procedure
It’s important to monitor the capacity of the car park. Previous experience says the peak time of arrivals will be about 1.30pm to 2pm.
· Monitor capacity closely.
· Alert the Event Manager BEFORE the car park fills.
Arrangements have been made to close the car park and direct traffic to park on Common Lane - past the last bungalow
Primary Overflow Location: Close main car park and direct traffic to Common Lane (past the last bungalow).
Grass verge area has been prepared here by a local farmer.
NEW for 2026 – SECONDARY OVERFLOW
· Small overflow car park rear of Rossmore Close (access from Common Lane opposite junction of Ravenswood Drive). This will only be used as a last resort when public car parking on-site is declared full. This car park will fill quickly.
· Entry is tight at 2.8 metres (signed to warn drivers as 2.5m, 6’6”) between two concrete posts. Marshals should reinforce this message verbally to drivers to take care before entry.
Deployment:
· Team Leader and three marshals must be in place before opening:
· Marshal 1: Common Lane at access to overflow
· Marshal 2: At entrance to park area
· Team Leader and Marshal 3: On car park directing tidy parking and ensuring vehicles can leave at any time
· When full, reduce marshals to two at Common Lane entry/exit point to direct traffic to further parking along left side of Common Lane past the last bungalow on wide grass verge.
Be aware: Some visitors display challenging behaviour, they think they know better than you. Should this occur, keep smiling, avoid conflict, let them do what they think is best. Reply with “OKAY AS YOU WISH”.
Report such incidents to team leader, who will assess if any further action should be taken and make necessary report to Event Organiser Neil Woodward.
Pedestrians: Keep pedestrians away from traffic flow.
One-Way System: Be aware this may be revised due to weather.

9. EMERGENCY SERVICES ARRIVAL PROCEDURE
In the event emergency services (“blue lights”) are expected on site:
Communication
Immediate notification via all available channels:
Radio broadcast to all marshals
‘WhatsApp’ group message
Telephone call to Team Leaders (if necessary)
Alert Code: "CODE BLUE LIGHTS"
Immediate Actions
Team Leaders must proceed immediately to the Main Entrance to ensure unobstructed passage for emergency vehicles.
Traffic may be stopped if decided by event organiser or person assuming control of the emergency. In this case vehicles must stay where they are parked.
Cars on highway will be directed to continue around Ravenswood Drive back to Common Lane
Any traffic on the spur towards show ground may be directed into parking areas and stack in the access lanes, so as to clear the route for emergency vehicles arriving.
Committee Members (where available) should assist around the perimeter track to ensure clear passage from pedestrians and vehicles towards the identified incident location.
This procedure should be understood by all marshals and reviewed at the start of your shift.
