Who we are

Blue Futures Studio Limited (“Blue Futures Studio” or “we” or “us”) is a Sustainability and People & Culture consultancy that provides consulting, training and mentoring services to private clients and organisations. 

Purpose of this policy

This privacy notice (“Privacy Notice”) aims to give you information on how Blue Futures collects and processes your personal data ("Personal Data"). 

This policy is made pursuant to the Data Protection Act 2018 (“DPA 2018”) and the retained EU law version of the General Data Protection Regulation ((EU) 2016/679) (“UK GDPR”).

It is important that you read this Privacy Notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing Personal Data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements the other notices and is not intended to override them.

We may change this Privacy Notice from time to time by posting the updated version of the Privacy Notice on our website. We will inform of any material change so that you can fully understand the changes that are actually implemented. How we obtain your Personal Data

Blue Futures Studio collects and uses Personal Data which you provide to us directly or which we collect about you when you navigate through our websites or during our business relationship for the purposes of consulting, advertising, supplying you with information about our products/services, making contact with you for marketing or other commercial purposes, answering your enquiries regarding our products, analysing and improving the quality of our products.

We may also collect your data from a variety of publicly available sources, typically, but not limited to, the following: LinkedIn; Company websites; other online sources – annual reports, online articles, etc.

We may also receive your Personal Data by reference or word of mouth: for example, in case you may be recommended to us by someone else. 

What Personal Data we collect from you

• Personal details provided by you - such as your name, postal address and other contact details, such as your telephone number and email address, your requests, any complaints you may have and any other data we receive if we communicate with you via email, online or via social media, and any other information you provide - for example, when you engage Blue Futures Studio for a project;

• Information collected automatically – including information about your computer, IP address, and browser, that we may collect, for example, when we use in our Sites our own cookies or cookies owned by 3rd parties, web beacons and similar technologies that collect information about your use of our Sites or about your interaction with us by emails. 

Why we collect Personal Data

We will only process your Personal Data if necessary for the performance of a contract with you, for compliance with a legal obligation of Blue Futures Studio and /or for the purposes of legitimate interests of Blue Futures Studio. 

We may use your Personal Data, for legitimate commercial interests: we may use your Personal Data (both on an aggregated and on an individual basis), such as your contact details, and electronic identification data, for the purpose of advertising and for analysing and improving the quality of our products, as well as, to understand you as a customer.

We may also use your Personal Data to generate aggregated statistics about the users of our products; to facilitate our business operations, to operate company policies and procedures; and for other legitimate business purposes permitted by applicable law.

If you are a Client or other Third Party, we may use information held about you in the following ways:

• to notify you about changes to any of our services or business;

Who we share your data with

Your Personal Data will be treated as strictly confidential. It will only be shared with third parties where it is necessary for the performance of our tasks. It is likely that we will need to share your Personal Data with third-parties, for example contractors, for the sole scope of providing us with services.

We require all third-parties to respect the security of your Personal Data and to treat it in accordance with the law. We do not allow our third-party service providers to use your Personal Data for their own purposes and only permit them to process your Personal Data for specified purposes and in accordance with our contractual agreements.

Sometimes we share your data with third-parties who are not processors, as per contractual obligation. For example Blue Futures Studio presence in any of the various social media forums like Facebook, Twitter, Instagram, LinkedIn, etc, you should be familiar with and understand the tools provided by those sites that allow you to make choices about how you share the Personal Data in your social media profile(s).

For these forums the privacy practices or policies of these third parties apply, so we encourage you to read the applicable privacy notices, terms of use and related information about how your Personal Data is used in these social media environments.

Subsequently our Sites may contain links to third-party websites; if you follow these links, you will exit our websites and mobile applications. While these third-party websites are selected with care, Blue Futures Studio cannot accept liability for the use of your Personal Data by these organisations. How long we keep your data for

We understand our legal responsibility to retain accurate data and only retain Personal Data for as long as we need it for our legitimate business interests and that you are happy for us to do so.

We may therefore retain your Personal Data for a reasonable period after your last interaction with us. When the Personal Data that we collect is no longer required in this way, we destroy or delete it in a secure manner. The amount of time we keep your data  varies by the type of data. The criteria we use to determine whether we should retain your personal data includes:

• Its perceived accuracy

• Our legal obligations

We may, instead of destroying or erasing your Personal Data, make it anonymous so that it cannot be associated with or tracked back to you. In certain cases, we may have legal or regulatory obligations that require us to retain specific records for a set period of time.

Data Security

We have put in place appropriate security measures to prevent your Personal Data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your Personal Data to those employees, agents, contractors and other third-parties who have a business need to know. They will only process your Personal Data on our instructions, and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected Personal Data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

In the course of providing services to clients we rely on legitimate business interests to process your personal data to carry out work services for you. 

How we transfer your data internationally

In some rare instances, we may need to transfer your data internationally (e.g for the purpose of  services in which the client has an international presence). On the occasion that your information is transferred internationally, this will always be in compliance with Chapter 5 of the GDPR regulations (Regulation (EU) 2016/679 of the European Parliament and of the Council) or with your explicit consent. In all cases, your information will be treated in compliance with UK GDPR laws.

Subject Access to information & How to Contact Us

The UK GDPR and the DPA 2018 give you the right to access information held about you. We also encourage you to contact us to ensure your data is accurate and complete.
