Notable Bug/Issue Fixes
Fixed an issue where hovering over the informational icon for “Is this your primary support person” during support person registration would cause Beehive web app to crash.
Fixed an issue where service users and PSPs who had completed surveys but had not completed the EULA (because surveys were entered by staff via data-entry method) could not receive a weblink after staff pushed the “resend weblink” button. Previously the logic was that the weblink would not send if all surveys in the current timepoint were fixed. We have updated this logic so that if the EULA is incomplete, you can send the weblink so that the service user or PSP can complete the EULA in Beehive. Automatic weblinks will not be sent, it is only the “resend weblink” functionality that can be used in this scenario.

Updated Assignment Workflow for the EPI-CAL Trauma survey bundles (both the child and adult versions) when service users turn 18 to reduce workload of clinic staff regarding these bundles. Consider a service user who is less than 18 and has been assigned the “EPI-CAL Trauma Child” bundle (i.e. CATS Survey). Beehive will automatically do the following based on the survey status of the EPI-CAL Trauma Child Bundle on the individual’s 18th birthday:
If CATS survey is completed when client turns 18 --> No changes during this survey window. Beehive will automatically assign “EPI-CAL Trauma Adult” Bundle with PCL-LEC Survey at next survey window
If CATS survey is in-progress when client turns 18 --> allow user to finish CATS in the “EPI-CAL Trauma Child” Bundle in this survey window. Assign “EPI-CAL Trauma Adult” Bundle with PCL-LEC Survey at next survey window

Fixed an issue for UC Davis users where an extra submission screen was populating between entry of email address on login screen and redirection to UCD SSO login.
Updated and New Features
For UC Davis users – we have added in domain recognition for the @health.ucdavis.edu domain. This means that when you enter a new UCD health email on the login page on Beehive, you will be automatically redirected to the UC Davis SSO page to complete the login process. Admin users at UCD clinic should make plans to update the email addresses for provider-level users as those user migrate to new UCD health email address. Login process will continue to work with the old email in the meantime.
Added Korean and Khmer (Cambodian) localizations to Beehive
Updated read-status functionality based on user feedback. Read-status is the process of showing a user which survey results and visualizations have already been viewed. Surveys which had not been viewed would be showed in bold text. Additionally, a green circle icon would show on the survey list to indicate there were survey responses that had not yet been viewed.
Read-status will now show for each individual user’s behavior. Previously, the read-status was based on the activity of the treatment team lead. With this update, the read status will be based on whether YOU, as the logged in user, have viewed that survey.
Survey results and survey visualizations are considered independent (because sometimes survey visualizations do not include all survey items in the parent survey). This means that if you view a survey visualization for a given survey, the survey results page for that survey will still show as unread until you look at the survey results page for it.
The green icon on the client list that shows there is new/unread data will show if there is unread client or PSP data. It will not appear if there is only new/unread clinician-entered data.
Beehive will now display additional information when users hard-stop text messages
Existing functionality
If users text “PAUSE” to their Beehive weblink text messages, Beehive turns off the automatic weblink delivery and shows a message that the user has stopped texts.
If users text STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to their Beehive weblink text messages, the service provider that we use to send these text messages (Twilio) will no longer respond to Beehive requests to send text messages. The only way that text messages will resume in this scenario is for users to text “START” to the same number. This functionality is built into Twilio and our team does not have control over these words triggering these outcomes.
Previous Issue: Beehive was not processing or displaying when users would reply anything other than “PAUSE”. This may have created scenarios where a service user or primary support person turned off texts, forgot, and subsequently perceived a lack of weblinks as a bug or error.
New Functionality: If the user sends one of the above messages in Beehive, we will show it in two places
Weblink delivery method section of registration will say either “paused” (to indicate that the user replied PAUSE and that users can turn weblinks back on through Beehive) or “stopped” (to indicate that the user has replied one of the above words and that weblinks can only be turned back on by texting “START” to the designated Beehive phone number.
Weblink resend workflow will now display a message if the user has stopped texts, and it will include the number to which the user must text “START” to resume weblinks

· There was an issue reported where manually sent weblinks were not arriving immediately, and users would manually resend them again, which would invalidate the first link by the time it arrived. This is a confusing cycle to be caught in as a user. Since there are sometimes email delays that are not under the control of Beehive, application, we have added a message after the confirmation message to encourage users to wait at least 2 minutes before attempting to send another email. We will continue to monitor this issue and see if further changes to this workflow are required.
· Fixed an issue on survey list pages where user was unable to view the estimated completion time on the last survey of a bundle

o You can now search the client list for partial phone numbers (before the entire phone number was required)

· Survey status tab for clinician-entered surveys is now visible to Application Owner and Admin Users. This will help us to support teams. (Previously we have not been able to open this status page and it has made it hard to troubleshoot issues on this page when they are reported to us).

Note, manual submission of questions will always be required for a) the last question of a survey, b) multi-select questions, c) text-response questions.
· We have introduced restrictions to email changes to enhance security and avoid bugs.
o In your profile, you will see you no longer have the ability to modify your own email address. The message “contact administrator to change” will display.
o Provider-level users can ask a clinic admin or group admin in their clinic for support.
o Clinic admin can ask a group admin in their clinic for support.
o Group admin should ask their EPI-CAL point person for support if they need to change their own email address.

o For consistency across the application, your selection on the clinic filter on any page will be maintained across pages. If you select a clinic filter on the dashboard, that same setting will be applied when you navigate to another page (e.g., client list). We have also added clinic filters to some pages (notifications, support requests, clinic view page) to make sure users can change this setting on any page if needed.
o As a result of the redirections we added to the Action Items widget on the dashboard, we have added 3 more filter options to the client list along with a “reset” button
If you are not redirecting to the client list from the action items widget, you can manually add these new filters by selecting “more” and adding 1-3 of the filters
Hitting reset will return to the default value of ALL filters and remove the additional filters under “more” from view

Made the process of adding new admin users more consistent with the process of adding providers. Users can now be assigned to their group/clinic directly on the initial registration page, rather than having a two-step process of adding a user and then assigning them on the group/clinic card.
New Features
Armenian Translation is now fully ready in Beehive. This includes translation of all client and PSP surveys and fully-localized EULA video.
There are some survey design features (only EPI-CAL team has access to these workflows) that have been implemented to reduce the chance of error when editing surveys or adding new languages to them.
We have added a new visualization for the Adherence Estimator measure which is part of the client self-report medications survey.
Known Issues That We Are Working to Fix
For some admin, dashboard visualization and urgent clinical issues may not appear when you first log in to Beehive. A workaround while we fix this is to navigate to another page and then go back to the dashboard for them to appear.
Aggregate data includes scores for incomplete surveys. This is causing some scores to be below the minimum possible score.
Survey due dates and expiration dates on the client list are often displaying as “N/A”. These fields do display properly on the weekly survey digest, on the client view page, and on the survey status pages are displaying properly, if you ever need to double check.

Notable Bug/Issue Fixes
Fixed a scoring issue on SCORE-15 (both self-report & PSP version). This issue was only impacting visualizations and the “_score” variables in reports (that show the numeric score for total measure & subscales). Scoring on items has changed from 0-4 to 1-5 to be consistent with how this measure is scored in the literature.
Fixed a minor issue where completing a client survey from survey status screen would automatically shift user to the PSP survey status page. Now this auto-shift will not happen and users will remain on client survey status page.

Updates to Monthly Clinic Survey
Based on pilot user feedback, we have updated the monthly clinic survey list in the following ways:
Added a column for “Assessment Period” to make it clearer what month the survey is about
Removed “created date” column as it was causing confusion about the month being assessed. If you need a reminder of when surveys are available, you can over the information modal next to “Assessment Period” title.
Added “Due date”
Changed “Close date” & “closed by” to “date finalized” & “finalized by” to improve clarity on what these columns show
Simplified “status” column options. It will show one of 4 statuses: “Not started”, “In Progress”, “Completed” or “Finalized. “overdue” is no longer a status. You will know if things are overdue because it will be past the due date listed. Past due dates for assessments periods that do not have a “completed” or “finalized” status will display in bold & red text.

Based on pilot user feedback, we have added a monthly notification via email for clinic-admin and group-admin users that tells them a monthly clinic survey is now available.

The email will be sent once per survey, on the first day of the month.
Admin with access to multiple clinics will get one email with all clinics listed (rather than getting one email per clinic)
You can click the “survey status” column to open Beehive and go directly to the monthly survey
You can turn off these notifications in your user profile. You can turn the notifications off entirely, or turn them off for specific clinics. (See screenshot below)
Based on pilot user feedback, we have removed the “submit” step for clinic admin.
Known Issues That We Are Working to Fix
The first time application admin or owners set up a group & clinic in Beehive, it is impossible to add a clinic admin. This does not impact existing groups and clinics in Beehive. This will be addressed in the next production update.
Aggregate data visualizations (i.e. those on admin dashboards) have various issues. Thresholds are not appearing, severity shading is not always accurate, average scores are appearing below the minimum value of the graph, etc. This will be addressed in the next production update.

EULA Video Updates!
Revised (and a few minutes shortened) videos for English, Spanish, Vietnamese, and Arabic. Our previous EULA video was created in-house, and the software we were using did not support all of the California threshold languages we plan to add to Beehive. As part of our long-term plan of localizing all California threshold languages into Beehive, we started working with an outside vendor, Planet Nutshell, on revising and localizing the Beehive EULA video. We are very excited with the quality of the changes and that we were able to shorten the video by a few minutes without removing any important information.

Closed Captioning is now available on the EULA videos within Beehive. Users can turn it on in the settings on the video player when the video pops up.
Monthly Clinic Surveys
We have removed the expiration-date for clinic-admin users from this workflow, based on feedback that it is too restrictive. This means that past-due surveys can be entered by clinic-admin users, not just group-admin users.
We have removed the auto-finalization dates from this workflow, on feedback that it is too restrictive.
We have changed the due date from the 15th of the month after the trigger date to the 7th of the month after the trigger date. The due date is our requested completion date, but because we have moved the expiration dates and auto-finalization dates, users should still have flexibility to submit surveys after the due date.
Known Issues That We Are Working to Fix
(iPad app) When using the horizontal scroll feature on subscale visualizations, the application will jump back to the top of the page. We are working to fix this, but the workaround for this is to make sure you close the keyword graph whenever you are trying to use the horizontal scroll feature on a visualization.

Known Issues That We Are Working to Fix
For some clients, their survey status is showing as “overdue” on the client list it should say “Completed” because all surveys are entered.
In alerts report, some entries are showing that alerts have been triggered on responses that are not set to trigger alerts. We believe this may be because clients change their response after triggering an alert but before submitting the survey, but are working to resolve and make sure the alerts report accurately reflects the response that triggered the alert.

Report Download Optimization
o Reports feeling slow? It’s because if you are downloading all available data, the reports are getting larger and larger as time goes on. To address this, we’ve changed the way that the report download interface works to help speed things up and/or allow you to work on other things in Beehive while you are waiting for your report to generate. When you download a report now, you won’t be locked on the loading page. Instead, you will see that the status of the report says “In Progress”. You can navigate away from the reports tab and use other parts of Beehive while you wait for the report to generate. Once your report is ready, the status will say “Download” instead of “In Progress”.
Updates to Data Visualizations
o In this release and upcoming releases we are amplifying our data visualization features to allow us to improve and add more data visualizations in Beehive.
o We’ve had changes to the survey design features that EPI-CAL team has access to that will allow us to add visualizations for numerically-validated text-entry data. For example, we’ll be able to design visualizations for the symptom and functioning assessment scores (e.g. BPRS, COMPASS-10, GFS/GFR) with this functionality added.
We’ve changed the display rules for the urgent clinical issues widget
o Now all providers will see all open urgent clinical issues on this widget—not just those for their own clients. This change was made based on user-feedback to support team-based care. The rules for who will get a notification about these urgent clinical issues has not changed—you will still only get a notification if you are either an admin user or a treatment team lead for that particular client.

Data Visualizations! Updates and New Features
In this release and upcoming releases we are amplifying our data visualization features to allow us to improve and add more data visualizations in Beehive.
One major thing you will notice right away is that the “keyword graph” that shows individual item responses is now BELOW the comparative graph. This is to make sure we can always show as many items as the survey has without it needing to retain specific dimensions relative to the comparative graph.
We have added an information icon that will display information to explain the color gradient on each visualization
We’ve added the ability for the x-axis on keyword graph to display text instead of just numbers. Please note that if measures include items with reverse scoring (e.g. SCORE-15), we will not design these graphs to display with text anchors and will continue to display the associated scores on the x-axis
Some surveys will have multiple visualizations within them. This will happen if there are multiple domains within a survey. Choose which visualization to look at within the survey from the visualization dropdown that appears after you select the survey. The following are measures with multiple visualizations: CATS, PCL-LEC, Shared Decision Making & Treatment Satisfaction, Medications
Known Issues That We Are Working to Fix
On iOS only: when the a graph’s minimum possible value is something other than zero, and the individual-level score is at the defined minimum, the bar for those items does not display at all (previously there would be a very small bar at the minimum value)
The hover text box on key word graph is truncated for items at the maximum x-axis value
When there is a default visualization selected on client view page, this visualization seems to override the comparative graph on the first visualization selection you make. The workaround until we address this issue is to navigate to a different survey and then go back to the survey you were trying to look at.
Display issues on survey results—we have noticed that sometimes not all of the available questions will show on survey results. The workaround until we fix this issue: If you toggle to a different survey and then back to the original one, you can see all of the questions.
If you unassign an additional unscheduled survey, any previously completed iterations of that bundle will no longer show on survey status page.

You can now download multiple surveys into the same report. For any given respondent type (e.g. client, support person, clinician-entered data), you may download as many surveys as desired into a given report.
Please note, that you cannot download multiple surveys ACROSS respondent types. So you cannot download support person and client surveys into the same report, and you would have to do two separate downloads in this case.
Data will show up in one row per client timepoint. If client has answered the survey at multiple timepoints, they will have multiple rows in the report for each timepoint.
Clients will show up in the report if they have answered at least one of the surveys you have selected
Added a “_score” variable in reports for surveys with a global score like MCSI, QPR, BAS, etc. This means you will see the total score for these measures when you download reports. Note that if any of the responses for a questionnaire are missing or answered “prefer not to say”, this score will show up in reports as “INVALID”
Added more information to the “Data_permissions” variables. Now, this variable name will always include “_client”, “_PSP”, or “_provider” for additional clarity when using data in reports.
Added variables to reports. For example, added “treatment team lead” and “prescriber” variables to the “Updates to client demographics” report. Added “Review_data” variable to the “Data Use” report.
Whenever a DOB shows up in reports, instead of showing the DOB in one data cell, we have broken this up into 2-3 data cells (one each for day, month, and year—depending on what the permission level is of the user who is downloading the report). This is to prevent formatting and date display issues when viewing .csv files in Excel.
Changes to variables and report structure will be reflected in an updated codebook which will be updated on the resource guide in the coming weeks.

Overall goal of all of these updates was to reduce the number of clicks and screens that you see when you are entering a new client. We wanted to streamline this process and reduce the time it takes.
This includes removing Emergency Contact and Insurance screens since site feedback on this was unanimous that no one was relying on Beehive as primary source to store and access this information and it had no research purpose
We have also added information modals to various fields (e.g. survey baseline date) to help you remember what we are asking for
You can now leave “preferred name” field blank if there is no difference between client/support person first name and preferred name
User-interface updates and other small changes

We hear you. Sundays at 7am is not the ideal time for most persons to receive the weblink. While this is still the default setting for some backend logistical reasons, you can now choose the day of the week and the time of day for each client and PSP to receive the weblink.
You also set the frequency and may choose weekly, bimonthly, or monthly frequency
You can leave weblink delivery on the default setting if you do not wish to customize. No action is required unless you want to customize. These settings are modifiable at any time in the client and support person profiles.
Data submission workflow for data collected outside of Beehive
We have added the ability to enter data for existing Beehive surveys that may have been collected outside of Beehive (e.g. on paper) to address the need of a particular site whose workflow involves collecting some EPI-CAL surveys on paper prior to client interacting with Beehive.
We still suggest that you collect all data through Beehive, but this is available as a back-up option as needed.
You can access it through the survey status page, by clicking on the pencil button next to an incomplete survey.
There are new fields in all survey reports (e.g. .csv downloads from Beehive) that indicate whether survey data was collected via Beehive or Externally. If externally, it will note which clinic user entered the data and when, as well as the date that the data was actually collected. You can review all of these variables in our updated codebook on the Beehive resource guide.
Please note: the same rules around data collection are still enforced (e.g. you cannot enter data if it was collected prior to survey baseline date)
Known Issues That We Are Working to Fix
Duplicate client workflow is triggering errantly while editing existing clients. This appears to have been fixed by resolving other related bugs, but we are continuing to monitor.
Intermittently and for some users, OTP invalid error during new user signup process
Issue with registering support persons under multiple clients (unsure if this is specific to only one client record)
Email addresses not allowed to be reused among clients and primary support persons. This has not been an intended feature in Beehive since Spring 2022, we are working to fix.
If client/PSPs navigate back and forth through survey items a lot and they are completing survey in a language other than English, too many clicks back and forth will cause the survey to display only in English
Intermittently (e.g. only for some client records), it is not possible to assign the Discharge survey bundle to the client

New Features
OTP alternative for Clients and PSPs: Now in addition to being able to attempt to re-send the OTP, clients can complete an alternative method of verifying themselves to log into Beehive weblink. They will be asked to enter two fields that are linked to their Beehive profiles (entered by the clinic at registration) such as First name, Last name, Date of Birth, and zipcode (Clients only, since zipcode is not part of PSP registration). They must also complete Captcha. OTP is still the primary way that clients and PSPs will verify their access to Beehive weblink, but now they have a back-up option.
Clients and PSPs can reply “PAUSE” to their SMS weblink in order to suspend SMS weblink without the clinic needing to update the profile. If they do this, it will automatically update their profile page in Beehive to uncheck the “Text” option for weblink and it will show a message including the date that the SMS weblink was turned off (both summary screen and data entry screen, see screen shots below). Note that if multiple users are sharing a phone number the user can either turn off weblink for EVERYONE using that number or are instructed to contact the clinic if only one or some individuals using the phone number want to suspend SMS weblink. If users want to turn SMS weblink back on in the future, clinic users can do this by updating the client or PSP profile(s).

New Features
To reduce issues with receipt of SMS weblink, we are introducing mobile phone validation & mobile phone verification to Beehive.
Mobile phone validation – This automated process will provide information on whether the cell phone number entered for client or PSP is a valid cell phone number
o Mobile phone validation will run in the background when a cell phone number is entered during client or PSP registration. The only change to this registration workflow is that now you will see more information. There are different icons that indicate whether the number is a validated cell phone number or whether it is an invalid cell phone number
Mobile phone verification: Clients/PSPs using SMS weblink will first be required to verify their number (by clicking on a verification link texted to them) before they receive automated weblinks.
o All numbers (regardless of validation status) need to be verified before Beehive will send any weblink text messages. Note that Beehive will still attempt to send this message to clients/PSPs that have an “invalid” number.
o Beehive will send out this verification message three times. Each message includes a link that is valid for 48 hours.
First message
As of this update to Beehive, all users with their weblink delivery method set to “Text” will need to respond to this verification message to continue to receive weblink messages.
For new clients moving forward, the first verification message is sent upon completion of registration for all users with their weblink delivery method set to “text”
The second message will be sent 48 hours after the first message.
The third message will be sent 48 hours after the second message.
o When user clicks this link, this will be noted in the profile and they will begin to receive automated weblinks
o If user does not verify number after the third message, Beehive will not continue to send out automated verification messages. A clinic user can manually send this message at any time on the client’s or PSP’s registration page by clicking “Invited”
o Until the number is verified, the client/PSP will not receive weblinks via SMS. They can still receive weblink via email or complete surveys in-person on the iOS app.
There are several places that Beehive will tell you that a number is unverified:
o Icon on the cell phone text box
o Icon on the weblink delivery method “text” option
o An informational icon on the Client list (icon is a red text bubble with the words “SMS” in it)

Notable Bug/Issue Fixes
Weblink and One-Time Password (OTP) emails and texts will be delivered in the user’s display language. For example, if a primary support person has their display language set to “Vietnamese,” they will receive the weblink and OTP emails in Vietnamese (instead of English).
Update to reports: Variable names for survey questions which are inactive and never collected any data will not show up in reports.
Fixed color gradient inconsistencies on data visualizations on web app. Any user with windows operating system was experiencing a low-contrast gradient on data visualizations (i.e. it was very difficult to tell which direction the gradient was going, see first image below). Now, it will be easier to tell in which direction the shading gradient goes (Second image below)
Updated/Improved Features
· One-Time Password (OTP) for weblink will last for 24 hours. This means that, as long as client and/or PSP continue to use the same device and same browser, they will only need to enter an OTP once per day.
· When re-sending weblink messages to clients and PSPs, the preferred method of contact will be indicated
· Added click-to-copy feature for client GUIDs from urgent clinical issues page
· Added an option for “no weblink” to “Weblink Delivery” section of registration for clients and primary support persons. This is intended for clients and PSPs who only want to complete surveys on the ipad, and it may also be used as needed to delay or pause weblinks for clients and PSPs who are already registered.
· We have automated the coded date for PSP’s who decline to provide their DOB
· The file name for reports generated by Beehive will now include more detail. It will now include:
o An indication of whether the report was pulled for one clinic or all clinics in a group. If the data was pulled for all clinics in a group, it will include “_all” in the file name. If it is only for one clinic, the clinic name will be in the file name.
o For survey reports, the name of the survey will be part of the file name.
New Features
· Survey Notifications – In App
o Group admin, Clinic Admin, and Treatment Team Lead users will now get in-app notifications about surveys at 3 key points relative to client’s survey window: when a new window open, when the due date passes and surveys are not yet complete, and one month before survey window expires and surveys are not yet complete.
· Survey Notifications- Weekly Digest Email
o The above survey notifications will be compiled into a weekly email that is sent to all Group admin, Clinic Admin, and Treatment Team Lead users. It will show all clients who have incomplete surveys. It will indicate whether the client has incomplete client surveys, PSP surveys, and/or clinician entered data. It will also indicate how close to the expiration date clients are.
o By default, the above users will receive these emails for every clinic that they have access to in Beehive. Users can change this (including turning these notifications off entirely) by editing their profile.
o Be default, these emails will be delivered on Mondays at 8am. Users may personalize the day and time that they receive these emails in their profile:

Fixed a bug which un-assigned users from their group when their permission level was changed to group analyst. This bug was also preventing these users from logging in.
New/Updated Features
When generating a client demographics report, clients with a missing survey baseline date will now be included in the report. Since this report pulls by survey baseline date, any clients without one were not being included in reports. This should help sites to identify clients with missing registration data so that they can complete these profiles.
By popular demand: Client registration can now be saved before it is fully completed. This means that if you get interrupted while completing the initial client registration (e.g., you run out of time, you do not have all of the required fields), you can save your progress and return to it later. Please note that surveys will not be accessible until the registration is completed. There are visual cues built into Beehive to indicate when client registration has not been completed.
We have added two additional response options to the question asked when resolving urgent clinical issues: “How was this data used as part of care?” Based on data from the first year of Beehive issues, we added two responses that have come up frequently as free-text responses: “Created a new safety plan” & “Updated safety plan”.

Major quality-of-life improvements to editing information for an existing client/PSP.
The “edit client” landing page shows all information that you have entered about the client (rather than just key information)
Each section of this page represents a page or section of registration. You can click the pencil button on the widget to jump directly to that page to edit it
You may save and exit/close on any page while editing client information (i.e. you no longer have to click through every page.)
Once in edit mode, you may jump around to other pages (indicated by the tabs at the top of the screen) to go to just the pages you need to edit.
Updates to Weblink Distribution Frequency
Since widening survey windows in March, we got a lot of feedback from CSC teams that clients and support persons thought weblink emails/texts were too frequent. So, we’ve reduced the frequency of automatic weblink distribution.
Weblinks will continue to be sent automatically when you register a client on/after their intake date
After that, clients and support persons will receive, at maximum, one auto-generated email/text per week. This will be delivered on Sundays at 7am.
You can also still manually send a weblink to a client or support person at any time.
The frequency of these weblink reminders will be determined by how close the client is to their survey expiration date.
From survey window opening date to survey due date—weblinks are sent weekly

We have fixed the following bugs:
Clinician-entered surveys which were completed were not displaying the name of the user who completed the survey, and were instead showing the name of whoever was currently viewing the survey. Now when viewing the survey list for clinician data entry, surveys which are not completed will display “N/A” in the respondent field. Surveys which are completed will display the name of the individual who completed the survey.
User was unable to edit client’s profile information during initial registration workflow before submitting because “next” buttons would not respond
When returning to an in-progress clinician-entered survey, user was unable to progress through the survey if they ever navigated backwards.

To maintain compliance with increasing security standards, we have made a number of changes to Beehive. We have done our best to balance the security of patient information with your user experience. We appreciate your understanding and patience with these additional security features in our common goal to safeguard protected health information! Below are some that you will notice in Beehive:
When you take a screen shot on the iOS application (on iPad), this information is logged in Beehive.
The user taking a screen-shot will see a pop-up which reminds users not to share PHI without client's written permission and to delete screenshots that include PHI as soon as possible.
Group Admin Users will be notified (in-app, not via email) of each instance of a user taking a screen shot on the ipad. This is meant for group admin to be able to monitor and safeguard PHI. EPI-CAL project staff do not have access to these notifications or logs.
*Note—Items 2-4 below are not relevant for users at UC Davis and UCLA who use their institution’s single sign-on (SSO) to log in to Beehive*
We have updated our password policy. The next time you change your password, you will need to create a password in line with the new requirements:

OTP (One-Time Password) Timeouts
User can request an OTP for a maximum of 3 times before they will be blocked for 15 minutes. After 3 OTPs have been sent, the user must wait 15 minutes before requesting another OTP.
User can enter an invalid OTP for a maximum of 5 times before they will be blocked for 15 minutes. After entering an invalid OTP 5 times, the user must wait 15 minutes before they can attempt to complete login with OTP.

We have addressed one source of the OTP issues that sites were experiencing. If users only had “phone” selected as their preferred method of contact, OTP was not being sent. We have removed the phone option to remove the opportunity for this experience.
Increased efficiency in the application to reduce loading times. You’ll notice this especially when logging in (loading time is greatly reduced). We’re continuing to work on efficiencies in other parts of the application as well.
Being logged in on iOS (ipad app) and web app at the same time is now permitted. You can now have an active session (i.e. be logged in) in each environment at the same time. This means that if clients are answering surveys on ipad under your session, you can still log into web app to use Beehive without automatically ending their ipad session.
On client page when selecting survey visualizations, the dropdowns now only include surveys which have a visualization. Previously these lists included all surveys completed by clients, even if they did not have a visualization to show on this page. Remember, you can see the full list of surveys completed by the client by clicking the “Survey Status” button on the client page or by navigating through the dropdowns on the “Survey Results” page.

There is now an icon in Beehive that will take you directly to the Beehive Resource Guide. It is located near your profile button. This will open a new tab in your browser or will open a new window if you are using the Beehive iOS app.
When you hover over (web app) or tap (iOS app) the survey due date on the client list, a modal will pop-up that shows the expiration date (purple box in image above). This date is the last day that surveys can be completed (by client, PSP, or clinic) in the current timepoint.
Urgent Clinical Issues now trigger email notifications. Notifications will be sent when the client answers a question that creates an urgent clinical issue and if the issue has been unresolved for more than a week and more than two weeks. Notifications will be sent to the client’s assigned treatment team lead, as well as clinic-admin and group-admin for the clinic in which the client is registered.

Provider-level users cannot be added to more than one clinic. If users with provider-level access need to be assigned to more than one clinic, we recommend giving them “clinic admin” level permissions at each clinic.

The changes made in this version may require you to clear your browser cache before you can log into Beehive. If you are able to log in, but do not see “production: V0.0.21” on the bottom left of the screen when logged into Beehive web app, please clear your browser cache in order to access the Beehive updates.

Most browsers allow you to clear cache without clearing your stored passwords, so do be cautious of ensuring you aren’t clearing your passwords if you rely on your browser for that. I can also assist you if needed.
Also, don’t forget to update your iPad app through TestFlight before using it!

New/Updated Features
Dashboard redesign for all users. We have incorporated stakeholder feedback to make this page simpler to visually prioritize the most important information for each user type.
“Benchmarks Widget” for admin users. This is a new widget that has several components “under construction.” This widget will be completed over the next month. Admin users will receive further training on the dashboard when the Benchmarks widget is complete.
When viewing an urgent clinical issue card, you can now click to be directed to the survey item which triggered the alert

Bug Fixes
Fixed a bug which prevented users from accessing list of resolved urgent clinical issues (previously the button to navigate to this page only showed if there were open, unresolved urgent clinical issues. Now this button will always show)

Fixed a bug in which bundles and surveys would change position within the dropdown list. Now the names of bundles and surveys will appear in the same order each time you look at a dropdown.
New/Updated Features
On web app, threshold information (including score and description) now appears when you hover your mouse hover the threshold line (rather than only appearing when you click on the line). Threshold information continues to appear on “click” on the iPad application.
Users may now select which method of weblink distribution (text and/or SMS) to use when manually resending links and will see the phone/email address to which the weblink will be sent
We have added 9 additional reports to Beehive (note: provider-level accounts do not have access to data reports). We will be providing training on these reports in a future “Admin Features” Training

New/Updated Features
Shading as visual representation of score severity: Now when you view survey visualizations, each measure will having shading to indicate which direction indicates greater severity of negative outcomes. For example, shading on the MCSI will grow more opaque with higher scores whereas shading on the QPR will grow more opaque with lower scores.
When 2 primary support persons (PSP) share the same phone number or email address for receipt of weblink for remote survey completion, they will first be prompted to indicate which of them is completing the survey (see below image). This will ensure we are capturing the survey respondent correctly without requiring each PSP to each have a unique phone/email address.
When using the client list import option, reasons for upload failure will be displayed (e.g. “invalid phone number”)
When a client turns 18, client will be asked to re-watch EULA video and revisit their data-sharing preferences. Clinic staff will receive a notification that ask them to verify client’s survey bundle assignment is appropriate (this serves as a reminder to switch from child-specific surveys to adult-specific surveys when applicable)
