Situation
As artificial intelligence tools become increasingly integrated into the instructional design process, it’s essential for educators and designers to understand how to use them effectively. At my workplace, Microsoft Copilot is heavily used across departments, including Education Services. However, many colleagues—especially those who are less familiar with new technologies—struggle to prompt Copilot in ways that yield high-quality, relevant responses for learning and assessment design.
To address this challenge, I created a training resource to help team members learn how to prompt Microsoft Copilot to generate effective scenario-based questions. This training was designed with accessibility in mind and aligns with the department’s goal of staying current with emerging tools that enhance instructional quality and efficiency.
Solution
This presentation provides step-by-step guidance on how to craft effective prompts in Microsoft Copilot to develop scenario-based questions for learning and assessment. It includes examples of well-structured prompts, tips for refining AI-generated content, and demonstrations of Copilot’s assistive features such as speech-to-text and read-aloud tools.
To ensure the training is accessible to all users, I integrated multiple accessibility features:
Alternative text for all images and graphics
Screen reader compatibility with properly ordered slide text
Presenter notes for additional guidance
Readable layouts to avoid text jumping or confusion
I chose PowerPoint as the delivery medium because it’s a familiar and widely accepted tool within my organization. Many employees engage best with this format, and it allows easy sharing and updates as AI tools evolve.
This product can be used as an introductory training module for new hires and as ongoing professional development as AI applications expand. It also lays the foundation for a potential mini-series of internal trainings on leveraging AI responsibly and effectively within instructional design and other business processes.
