We have several ASB clubs at UCLA. People choose to make clubs for several reasons but joining through ASB guarantees you quarterly funding, advertising through club day/website and Electronic Bulletin Board, and access to lecture halls and email tags for your meetings. Here’s how to register.
Check the UCLA SOD ASB official website to make sure that a similar club does not already exist.
Fill out the New Club Form Here This paperwork requires your club to have the following:
President
Vice President
Treasurer
Faculty Advisor
Note: You can move the vice president to make two co-presidents if you would like.
After finding people for each role your club must also make a constitution form. A constitution tells ASB and the student membership how your club operates. It must contain:
Mission Statement/Statement of Purpose
Membership Criteria
Officers/Leadership Positions
Election/Appointment Policies
Amendment Procedures
Note: You have a lot of flexibility here. You can choose how much membership dues are or if you even want to have any, what additional cabinet positions you want to have, if you want to appoint leaders or elect them, and to what degree you want your faculty advisor involved. Be patient and allow for 2-4 weeks for processing. Upon approval from ASB they will put you on the website and send you the electronic form for quarterly funding.
Congratulations! You have officially started and registered an official club. Continue reading to learn more about funding, event advertisement, and how to reserve a room.
Your club is registered now but here are some things to know in terms of maintenance/operations of your club.
Every quarter if you want club funding you have to fill out the Funding Form. The funding form will ask you how much money you have and what you plan on doing with the money. Funding is available for Fall-Spring. ASB does not provide funding for the summer quarter.
As of 2023-2024 your club receives $75 a quarter and cannot have more than $1000 in it’s account if it want’s quarterly funding. You can have more than $1000, but you won’t qualify for quarterly funding. If you have $500 - $1000 your club will be eligible for $50 in ASB funding. For maintaining your club account, have someone in your cabinet track all of your club’s income and expenses. You can spend the funds on anything that helps your club operate (food, drinks, raffle prizes, venues etc.)
Also if you want funding you must attend club day in the fall, an event where all ASB clubs have their own table and advertise their club. No club day, no funding. We also suggest signing up for SOLE which is an organization that manages all clubs at UCLA. It is not required but SOLE provides funding and room reservations for anywhere on campus. If you want to send out emails, you can email each of the classes individually, as well as your faculty advisor and any other faculty. Don’t forget the PPIDs too. Look at who other clubs are emailing to get the specific addresses.
Note: In person lectures are more engaging and fun, but if it’s during lunch it can be hard to include D3’s and D4’s who are packing up from clinic. The best is the have it in person and record it on zoom simultaneously. Make a poster for club day and a QR code that links to a google form where people can punch in their emails if you only want to send emails to your members exclusively.
If you want to reserve a lecture hall for a meeting go to the student affairs office and ask for the Room Reservation Form. You fill this out and give it to someone in OSS. You need to do this ahead of time because it takes time for UCLA facilities to approve you. Do this 2-3 weeks before or even earlier.
This is SUPER IMPORTANT. If you plan on having an outside vendor pay for anything, it needs to be approved before hand. For regular meetings, you do not need any kind of approval however if it’s not coming from outside club dues, it needs to be approved. The rules here are strict but it is this way for legal reasons.
