It is very common for our Inboxes to get out of control and for us to accumulate thousands of emails and overlook some to which we should have responded. Gemini wrote the following concerning what these systems can do.
Automatically sort and label:
AI algorithms can analyse email content to automatically categorize messages into relevant folders based on sender, subject, keywords, or context.Â
Filter spam:
Advanced AI can better identify and filter out unwanted spam emails with high accuracy.Â
Prioritise emails:
AI can analyse email content and sender information to prioritize important messages that require immediate attention.Â
Summarise emails:
Some AI tools can generate concise summaries of lengthy emails, saving you time reading through unnecessary details.
Help you write, or respond to, emails, suggesting good wording.
Have smart snooze and follow-up reminders:
AI can suggest optimal times to revisit emails and set follow-up reminders based on your communication patterns.Â
Connect your email account:
Most AI email management tools require access to your email account to analyse your data and personalize their features.
Set up rules and filters:
Customize your AI settings to define specific criteria for sorting and prioritizing emails based on your needs.
Review and refine:
Regularly monitor how your AI tool is performing and adjust settings as necessary to optimize its effectiveness.Â
This option does not have access to your email programme. It cannot therefore organise or prioritise your emails or summarise a whole thread/conversation. Its purpose would simply be to help you compose, summarise or understand, or even translate emails.
For example:
Tell the LLM what you want to say and ask it to compose the email.
Or, paste in the text of an email you have received and ask the LLM to compose a reply.
Then check that you are happy with it and paste it into an email.
e.g. using Gemini in Gmail or Copilot in Outlook i.e. the Google or Microsoft AI model is used in its own email environment. Both of these require an extra subscription (cost) but allow you to ask it to do all sorts of things with your email.
Because they are native to that environment, they can also, for example, look at your calendar to check your availability when drafting a reply.
There is a growing list of products. You would have to compare what they offer and at what cost. They include:
