KoboToolbox was developed for humanitarian workers and is free and secure.

KoboToolbox allows you to build complex forms using your computer, then store the forms on your phone. Once the form is on your phone you can go offline and use the form in the field. The answers to your survey will be stored on your phone until you have a chance to go online and upload the completed forms to the KoboToolbox server.

Once the completed survey forms are uploaded to the server you can use the tools provided by KoboToolbox to quickly summarize and analyze the information from your completed forms.

Create a form

You will need a laptop computer to create a form. The Formbuilder supports a range of question types such as text, numbers, multiple choice, media, GPS and many others.

Sign in to KoboToolbox and go to the Form Builder to start your form. For this project we will build the form in the project account and then deploy it to your KoboToolbox account so that you can try it out.

You can view the example form created for this workshop click here and then click on the preview icon that looks like an eye in the upper right corner (see image below). When you view the form on a computer it will look and operate differently than it will in the app on your phone.

Deploy Form

Once you have created your form and saved it, you will need to deploy it before you can use it on your phones. Be sure to test the form, look at the data summaries, edit the form, and redeploy it before you start using it to collect data. Every time you make changes to your form you will need to redeploy it and reload it to your phones. The problem is that you will not be able to combine the different versions of your form in your data summaries, so make sure that you have the final version of your form before final deployment and data collection.

Make sure that you look closely at the spreadsheet of answers and see if it is structured the way you want. This is especially important if you use skip logic and other options which will make the structure of the submitted form more complex. Download the spreadsheet from the project management dashboard, exam it, and then make any necessary changes to the data column name (in the Formbuilder under Settings>Question Options) or the organization of the form (question order, presence of skip logic, etc.).
