VUSD uses a wide variety of printers across the district, and with different models comes different types of ink and toner. To keep printing running smoothly, each school site follows a simple process for ordering, storing, and replacing supplies.
At every school site, the Head Secretary is responsible for:
Ordering the correct toner for site printers
Keeping extra toner on hand
Ensuring replacements are available when printers run low
This helps prevent interruptions during high-priority times such as report cards, IEP printing, testing, and classroom materials.
If you are unsure which toner your printer uses, your Head Secretary can check the model and confirm the correct supply.
Most staff can install toner or ink on their own, and many printers are designed for quick, simple cartridge replacement.

Here are a few important details about toner and ink at VUSD:
Printers vary by site, and different models use different toner types. Using the wrong toner can damage the printer or prevent it from functioning.
Keep toner stored in a cool, dry place. Direct heat can damage or dry out certain cartridges.
Do not open toner packages until you’re ready to install them — exposure to air can reduce lifespan.
Avoid shaking toner aggressively. Light rocking is okay, but shaking can cause spills or internal damage.
A printer showing a “Low Toner” warning may still print for a while, but it’s best to replace it before it runs out to avoid downtime.
If you replace toner and the printer still shows “Low Toner,” it may need a firmware refresh or print server update, which Tech can handle.
