MN Dept. of Education Secure Reports Access

U of M system campuses can request access to the Minnesota Department of Education's (MDE) Postsecondary Enrollment Options Aid Calculation report. The report shows the PSEO credits paid to the U of M system campus by MDE (see example of the report below).

MDE's reporting system is called Education Identity & Access Management (EDIAM). Access to this system requires reauthorization each year. MDE sends out an email to the system campus finance contact they have on file to reauthorize access. Again, these reports are only for PSEO.

• System campuses first need to request access and get authorized. See below.

ACCESS REQUEST PROCESS & OVERVIEW

• If U of M system campus staff are obtaining access for the first time, they should email the MDE contact to get started.

• Once system campus staff have been granted access to MDE's secured reports, instructions for reauthorization of access to these reports will be sent each year in early November to the system campus finance contact MDE has on file.

  • • Each system campus must choose a Postsecondary Institution Individual with Authority (PIOWA) to approve the staff that will access the secure reports.

      • • Your PIOWA is likely your postsecondary institution’s chief operating officer (CFO), president, business manager (BM), or other administrative member.

        • The PIOWA cannot name himself/herself as both the PIOWA and a secure reports user.

        • The PIOWA must be at a higher administrative level than the PSEO Secure Reports User in order to create a two tiered security basis.

    • The PIOWA will need to submit a form to the MDE contact with the names of system campus staff that will be using these reports. Again, this form will be provided to the system campus finance contact.

    • After this form has been submitted, the system campus staff that plan to access these reports, will be required to submit the following information to the MDE contact after a specified date. Again, this information along with the date will be sent in an email to the system campus finance contact in early November each year.

        • Used email for EDIAM account

        • Postsecondary Institution Name you want access to.

        • Postsecondary Institution Number you want access to [indicate your system campus using these numbers]:

          • • UM Twin Cities: 0007-23 (called extension) [Rochester information is lumped with the Twin Cities campus]

            • UM Crookston: 0003-23

            • UM Duluth: 0004-23

            • UM Morris: 0005-23

    • Once access has been granted, the U of M system campus staff will be notified by MDE via email.
