What, why and when?
The Smith School is transitioning email services that we provide to our students and alumni. Faculty and Staff were moved to UMD G Suite in the summer of 2020 as mandated by University policies, and our current students are being consolidated on the same platform. Our Alumni are being transitioned to a mail forwarding service. While we would have liked to continue to provide Google mail services, it no longer fits our needs, policies and requirements. Additionally Google has ended their offering of unlimited storage and the costs being introduced are prohibitive from allowing us to maintain a contract with them for the services we have previously provided.
Note: These changes to email services only impacts those who had a mailbox on Smoogle, so if you graduated prior to 2012 and never previously requested a Smoogle mailbox, then this does not apply to you and the mail forwarding you originally setup will continue to function unimpeded.
Smoogle will be completely retired and decommissioned and we will no longer host mailboxes and accounts for alumni and students. Instead we will provide a mail forwarding service so that email sent to your @marylandsmith.umd.edu address is forwarded on to your personal email account for Alumni. You will need to download or transfer the contents of your MarylandSmith account prior to January 31st, 2023 as at that time your account will be deleted and all content removed from the service.
Frequently Asked Questions
Why am I unable to login to my MarylandSmith account starting from January 31st, 2023?
Your account was removed on January 31st, 2023 per the information on this website and the emails sent to the Alumni over the last five months. This was ample time to backup, transfer or download information that you wanted to keep. Mail forwarding to the destination address supplied by you using the form on this site was enabled on January 11th, 2023. If you chose not to provide a forwarding address please see the relevant answer in this FAQ as to whether your email was set to forward or not.
How do I choose the address my account will be forwarded to?
(NOTE: this answer applies to alumni who provide a forwarding address prior to January 31st, 2023. If it is after that date, please see this revelant answer in this FAQ). To request your @marylandsmith.umd.edu email address to be forwarded to a personal email address of your choice, you must login to your MarylandSmith account and then click the link here and fill out the form. You must be logged into your MarylandSmith account to use this form, it is how we validate your ownership of the account. If you are having difficulty logging into your MarylandSmith account or want to know more about the form, please click here. If you are attempting to do use the form after January 31st, 2023 you will not be able to, please see the answer to this question here.
What if I do not provide a forwarding address for my MarylandSmith account?
If you had provided a recovery email address in your MarylandSmith account we will set the email forwarding to that, if you did not we will forward your account to your University provided <directoryID>@umd.edu email address starting on January 11th, 2023 or other email address we have on file for you. If we have no other email address for you then your email account will not be forwarded anywhere and starting January 31st 2023 all email sent to you will be bounced undeliverable.
Multiple emails and calendar reminders have been set in the MarylandSmith email account for the past few months, you can see the messages and timeline here.
What do I do if I want to provide a new or changed forwarding address after January 31st, 2023?
After January 31st 2023 you will need to contact the Office of Development and Alumni Relations via alumni@rhsmith.umd.edu. They will verify your identity and collect the desired personal destination address and pass that onto the internal team at Smith IT for actioning. Please do not reach out directly to the Office of Smith IT, as they do not have access to your records to be able to appropriately verify your identity and will direct you to DAR to perform the steps in the prior sentence.
Can I transfer my data out of my Smith account?
(NOTE: Only until January 31st, 2023) Yes, we strongly encourage you to make a copy of the data in your account before January 31st, 2023 at which time your account will be deleted and all content removed from the service. You can either use Google Takeout to download the data you select, or use Google Transfer to copy your email and Google Drive data to your own personal Google account. Please be aware that you must have enough storage space in your personal Google account to be able to receive the data you are trying to transfer. Personal Google accounts only come with 15Gb of storage space, so you may need to purchase additional storage before you begin transferring your data.
How do I use Google Takeout to make a copy of all my data?
(NOTE: Only until January 31st, 2023) We have put together a page describing this process here with screenshots.
How do I transfer my email and Google Drive data to my own personal Gmail account?
(NOTE: Only until January 31st, 2023) First make sure you have enough storage space on your personal account before you begin. Login to your MarylandSmith account and go to https://drive.google.com/drive/quota to see how much storage space you are using in your Google account. You will need at least that much empty space in your personal Gmail account to transfer the data, and if you need more space you can purchase it from Google, which is beyond our scope to assist with. When you have verified you have the space you can follow the directions on this page here, except instead of using the directoryid@umd.edu you will use your personal Gmail address instead.
Can't I keep my MarylandSmith account forever?
Unfortunately no. Since we introduced Smoogle we have continuously stated that we could not guarantee being able to provide accounts on Google indefinitely. Providing a standalone instance of Google Workspace for Education no longer fits our business needs and the removal of unlimited storage by Google has introduced unexpected costs, therefore we need to transition our email services to other solutions. As we have always indicated though, we will be providing email forwarding for the MarylandSmith email addresses.
I cannot login to my MarylandSmith account as I cannot remember my password, how do I reset it?
(NOTE: After January 31st, 2023 you no longer have an account at MarylandSmith to login to). If you are unable to login to your MarylandSmith account to provide a forwarding address, you should be able to perform a self-service password reset as ideally you would have provided a recovery email address or recovery phone number in your account, or you may be able to remember an older passsword for your account.
Perform the account recovery steps listed by Google in this help article here. If you are unable to complete the process you can contact the Office of Development and Alumni Relations at the Smith School via alumni@rhsmith.umd.edu. The Office will verify your identity and will then forward your request and current email address to the Office of Smith IT who will set up password recovery on your account so that you can gain access. Please do not reach out to the Office of Smith IT directly, we do not have access to your information to be able to verify your identity and will redirect you to the Office of Development and Alumni Relations.
Can Smith IT help me copy my data?
Unfortunately no, quite apart from the number of users who need to move, we cannot assist with personal email accounts that you may decide to transfer your data to. We can link you to the Google help articles, but you would need to self-move your data, or download the data to store offline for later use.
Can I copy my Google Photos stored in my MarylandSmith account?
(NOTE: Only until January 31st, 2023) You can export your Google Photos using the Takeout method as described on this page here. Alternatively if you have a personal Gmail account and sufficient space to store a copy of your photos, you can also use Partner Sharing to share out all your photos from your MarylandSmith account to your personal one, and then save them in it. See this help article from Google called Set up partner sharing and complete the section under Share photos with a partner, sharing out from your MarylandSmith account to your personal Gmail account. Once you have completed the sharing (recommended to share all photos from a long time ago), you must expand the section on that page that says Find your partners photos and complete the Save your partners photos. If you fail to do this, the photos will disappear when the MarylandSmith account is removed on January 31st, 2023.
What if I do not move my data before January 31st, 2023 - what will happen to it?
Your MarylandSmith account data will be deleted and will not be recoverable. Please ensure you have either migrated it to your own account and/or downloaded a copy using Google Takeout.
