Document Management Flow & Process
Step 1. Initiator.
Submit application and draft MoU/MoA/NDA/LoI to Pejabat Penasihat Undang-Undang (PPUU) via NILAMS.
Revise drafts if required based on PPUU’s feedback.
Finalize and correct the draft.
Step 2. PJI.
Review and provide legal comments on the draft documents.
Return to PTJ for corrections if necessary.
Endorse the corrected draft and return for further processing.
Step 3. UiTM Shah Alam.
3a. Pejabat Penasihat Undang-Undang (PPUU)
PPUU will assign a legal officer to vet the document.
The vetted document will be returned to the initiator (via PJI).
Changes/addition/subtraction of the document (if any) shall be relayed to the external organisation.
External organisation counter proposed or accept the new draft.
The agreed new draft will be resubmitted to the legal officer.
This cycle can be repeated more than once until both parties satisfied and agreed with the document (called final draft at this stage).
3b. Mesyuarat Eksekutif Universiti (MEU)
The collaboration (document) will be put on MEU agenda.
Initiator can be called upon by MEU if deemed necessary to provide further elaboration.
MEU approval and issuance of letter.
3c. Lembaga Pengarah Universiti (LPU)
LPU will be notified of the memorandum.
Step 4. Initiator.
PTJ coordinates signatures with all external and internal parties.
After signing, upload finalized MoU/MoA to NILAMS and submit a hardcopy to the Pejabat Naib Canselor.
Step 5. PJI (Record Keeping)
PNC office uploads/archives the signed document in NILAMS.
Distribute copies to relevant departments including PTAR (if MoA).
Process completed within 1–3 working days.
