AIMR's accounting department handles procedures for mutual aid, tax, and unemployment insurance.Please submit your documents using the Google Form or as an email attachment.Some documents that require original copies may be submitted in person or by mail to the Accounting Section.Please submit them as soon as possible after employment.

・Application for Bank Transfer (New/Change) with Consent Form:Please fill in the bank account information and submit it promptly .
・Application for Change of Dependents' Exemption, etc.:Required for income tax calculation.Most of the person required to submit but if you are working double-time and AIMR is not your main place of employment, you do not need to submit this form.Please submit this form to your primary place of employment.
・A set of tax treaty application documents:Required for those who have come to Japan from countries covered by tax treaties(the accounting section will contact those who are considered eligible).
・Withholding tax slips issued by previous employers:Withholding tax slips showing income from January 1 to prior to the date of employment.Please submit this by the time of this year's year-end adjustment.
・For those who wish to have the inhabitant tax deducted from a salary:Please submit a copy of the tax notice, a copy of the receipt of payment, and the original payment slip for the unpaid portion of the tax.(For those who wish to have the tax deducted from their paychecks)
・If you are a member of iDeCo or would like to join, please contact the AIMR accounting section.
★Those who work more than 20 hours per week are required to enroll in Mutual Aid Short-term, and Employee's Pension Insurance.
Since December, 2nd 2024, as the use of a health insurance card has shifted to a the Myna Insurance Card, a "Eligibility verification Certificate" or "credential Notice of eligibility information" will be issued to confirm health insurance eligibility.
Please check ”Confirmation flow for health insurance card” to see which one will be issued. After completing the procedure, we will give you a "Notice of eligibility information (paper)". Once you receive the information, you can use Myna insurance card.
* A Eligibility verification Certificate cannot be issued to those who can use a the Myna Insurance Card.
In addition, foreigners who are hired for the first time in Japan will also receive their My Number card within one week of applying at the municipal office, so we will issue information or certification after confirming the My Number related documents without exception.
If you were enrolled in the National Health Insurance before being hired, be sure to complete the procedures for losing your National Health Insurance in your city, ward, town or village.
* In order to use the My Number card as a Myna insurance card, you need to start the procedure.
The procedure can also be done from the card reader of the medical institution.

・Notification of acquisition of short-term association membership: Requesting the form to arrange short-term mutual aid (health insurance part).
・Eligibility verfication Certificate (Reissue) Application Form: The person who does not have Myna insurance cards, or plans to return Myna insurance cards, must submit this application form along with the "Notification of acquisition of short-term association membership".
・Resident registration information verification document:Original copy of the resident registration certificate(original issued within the last 3 months) or a copy of the address side of the My Number Card(only for those who have the same information as the resident registration information)If you are a resident of Japan, you are required to submit a copy of your resident registration information.When submitting a copy of the residence certificate, please submit one original copy "without personal number, without permanent domicile, and with relationship to the applicant".
・Notification of address: Please submit this form if you reside in a different place of residence from your registered place of residence , such as a single family residence, etc.
・A copy of something that shows your basic pension number: "A copy of your pension notebook", "A copy of your Nenkin-kaisho (pension letter) with your basic pension number", or "A screenshot of the page showing your basic pension number in your MyNa Portal", etc.If you do not know the number, please ask your nearest pension office to reissue the notification.Those who have just arrived in Japan and do not have a pension number do not need to submit a notification.In this case, you will receive a basic pension number notification from the Pension Service approximately six months after joining the Mutual Aid Association.
・Personal Number Registration Notification and My Number Confirmation Documents:You will need to submit documents related to your personal number at the time of qualification and at the time of certification of support.A special envelope and form for submission will be provided separately later.Please prepare in advance as a "copy of my number card" or "resident certificate with personal number" will be required.My number should be submitted to AIMR Accounting Section.

・Application for Dependents, etc. : Required to submit this form for those who have family dependents.
・Explanation of dependent situation : Required to submit this form for the annual/yearly salary of faculty and staff who have dependents.
・Certificate of tax exemption or certificate of expected salary payment, etc.: Required documents differ depending on your family's situation.Please refer to for a list of required documents必要書類一覧
・A copy of the basic pension number:Necessary to obtain the spouse's National Pension No. 3 qualification.In addition to the applicant's number, a copy of the spouse's number is required. A copy of the pension book, a copy of the notification of the basic pension number, a copy of the Nenkin Seiken with the basic pension number, or a screenshot of the page showing the basic pension number in MyNa Portal.
A copy of something that shows the employment insurance number・ ・ ・ "Employment Insurance Insured Person's Certificate", "Notice of Confirmation of Loss of Employment Insurance Eligibility", "Rishokuhyo (release form)", etc.(If no document is available, only the number is acceptable.If you were employed at a business in Japan before you were hired, please ask your former employer for the number).If you have just arrived in Japan, we will obtain a new certificate.After the procedure is completed, we will send you an "Employment Insurance Certificate", so please keep it in a safe place.
