One of the most powerful tools potential guests use to discover Toastmasters clubs is the “Find a Club” page provided by Toastmasters International:

Many guests who are interested in attending a meeting rely on this page to find clubs in their area and to contact them directly.
Because of this, it is essential that each club keeps its contact information up to date, especially the email address and meeting details.
Unfortunately, we have identified that a significant number of guest inquiries are being lost because club contact email addresses are no longer valid or are not being monitored.
Keeping your club’s information current ensures that:
Guest inquiries are received promptly
Potential members do not lose interest due to lack of response
Clubs maximize opportunities for growth and engagement
Please take a moment to review and update your club’s details on the Find a Club page to ensure no guest inquiry is missed.
Step 1
Login with Toastmasters ID and under Leadership Central Go to Club Central
(you must be a club officer to access Club Central)
Step 2
Under Club Managmeent, click on "Club Contact and Meeting Information"
Please ensure that all information on this page is accurate and up to date, especially the email address.
The email address should be actively monitored so club members can respond to guest inquiries promptly.
Many clubs choose to use a group email address (for example, shared by multiple officers) so that guest inquiries are not missed even if one officer is unavailable.
You can also update your meeting venue, location, and meeting details on this page.
Please make sure these details are current to avoid confusion for guests attending your meetings.
Once you confirmed that all the details are correct, click on "Save" on the bottom right corner.
This is the form guests will use to contact your club. Once the form is submitted, an email will be sent to the email address listed on the Contact Club and Meeting Information page.

It has been pointed out that, in some cases, email inquiries sent via the Find a Club page may not be received due to delivery issues or unmonitored inboxes. For this reason, it is strongly advisable to regularly monitor guest inquiries directly in Club Central, where all inquiries are also recorded under Prospective Member Management.
By checking both:
the club contact email inbox, and
Club Central → Prospective Member Management,
clubs can ensure that no guest inquiry is missed, even if an email notification is not delivered. Regular monitoring of these channels helps clubs respond to guests promptly and improves the overall guest experience.
