About the VITA Contract

VITA has negotiated most favorable pricing and contract terms through our Master Services Agreement (MSA) with Tempus Nova. The MSA enables Public Bodies as defined by §2.2-4301 and referenced by §2.2-4304 and §2.2-2012 of the Code of Virginia to purchase products and services at highly discounted prices. Below is a high level overview of key contract terms.

1. Most products have been tiered in volumes below 10,000 licenses (<9,999) and above 10,000 licenses (>10,000).

2. Agencies that purchase 10,000 licenses and above will benefit from lower volume pricing.

3. All license costs are due upfront at the time of order provisioning.

4. The service term for licenses on the Service Catalog is 12 consecutive months starting in the corresponding contract year.

5. Licenses will be auto renewed each year unless otherwise specified in writing 45 days in advance of the renewal date.

6. Additional licenses may be purchased at any time within the service term.

7. Additional licenses purchased beyond the initial order will be prorated by the number of remaining months in the term.

8. Annual license deletions/downgrades must be specified in writing at least 45 days in advance of the annual renewal date.

9. Unused licenses may be reassigned to another user at any time (e.g. separated employees).

10. No mid term license reductions or deletions will be permitted.

11. VITA has negotiated a per mailbox migration charge for agencies of all sizes which includes services for technical setup and configuration, data migration, project management, change management, training, and go live support. Pricing is based on a three phased deployment approach.

12. The contract provides for a flat per user fee for Level 1 end user support and Level 2 escalation.

13. Google standard 24x7x365 email and phone support is included with the license costs.
