My duties as a team leader for the 2019-2020 school year were similar to my duties as an assistant team leader for the 2018-2019 school year. I attend monthly executive Public Service Organization (PSO) meetings, along with monthly general PSO meetings, provide short presentations of Elder Aid's previous and upcoming service events, recruit assistant team leaders, recruit volunteers for upcoming events, and plan service events with Elder Aid. As a team leader this year, I have worked closely with the Executive Director and Executive Assistant with the organization in event planning, and I am their main point of contact with PSO. More information on my involvement with PSO and specifically, Elder Aid, is available on my leadership page.
My team and I planned two events for the Fall 2019 semester, which included an ornament decorating party in November and sponsoring 16 elders in December for their annual Christmas party. For the ornament decorating party we were able to recruit over 10 volunteers to come to Elder Aid's main office and participate in a fun activity while bonding with the elders in the organization. Our event in December involved asking for donations to purchase the gifts listed on the 16 elder's wish lists we had sponsored. We were successful in collecting over 85 gifts, which included some raffle prizes for their Christmas celebration. I was lucky to be in town on December 20th to help decorate for the Christmas party and stay to help facilitate the party games and raffle drawing.
My duties as treasurer include the preparation of budget documents, attending monthly executive meetings, and coordinating with the 9 sub-teams in PSO. Each month I prepare cash advance and check request forms, depending on the service and recruitment events for that month, which then must be hand-delivered to the Student Organization Finance Center. I also organized the 2019-2020 budget Excel sheet, indicating the funds allotted to each committee, their current spending status, notes on their purchases, and their overall balance. This data is combined with spending for recruitment efforts and the overall organization's to-date spending as a total to maintain a balanced budget. This semester I have also taken initiative to organize an official binder for the upcoming 2020-2021 PSO Treasurer. This binder contains copies of each cash advance and check request form for the 2019-2020 school year, blank copies of each form, and a guided section on the processes of filling out the forms and necessary information needed before going to the Student Organization Finance Center. This experience of being the 2019-2020 PSO Treasurer has furthered my understanding of budgeting and finance, while also emphasizing teamwork in my coordination with the team leaders and assistant team leaders from each sub-team.
