FAQ's
A Super User or staff person that has the Athletic Director permission will see Specialties| Athletic Director, and can make changes to the following:
Sports
Enter in your current sports, a description and the sponsor or coach.
Teams
Create a new team while in the Teams tab. Choose the sport the team will be tied to. Give it a name and description. Also, select the head coach and assistant coach from the drop-down menus. From the Opponents tab, choose the sport, name and description of your opponents.
Once you have a team created, an icon of people will show up to the left. If you click on that, it will open up a site in a new tab, similar to the classroom web sites. You can add your athletes from there.
Scoreboard
Enter a New Game (or click on blue Headlines link to update). Pick the Sport from the drop-down menu, the gameday, how long you want it to display (defaults to three days), The Team and Opponent. Create a descriptive headline and a brief description of the game. This area is for some notes, the maximum character limit is 200.
There are five Score boxes to use for each team. If you use the last column (column 5) only, then that will display the final score; many schools may just desire that, in which case ignore the first four boxes. If you want to use the quarter/ period scores, you can use the other boxes. For example, for football you can list each quarter and a final score; volleyball may be columns 1-3 - if best of 3; Basketball, 4 quarters and a final. For most other sports, you will only use the last column to display the final scores.
This information will show on the Homepage on the right side and will scroll through all games that are "current."
Can parents view or access discipline logs?
If the school has it configured, parents/students can view the discipline logs from their site. See My Family/ Student: View of Discipline issues. In addition, when the discipline log item is created, the staff person can select to PAN to parents.
How can I track volunteers who sign-up for certain events?
To request volunteers you can go under Communication | Requests and create a request with a start and stop time/date. This request will appear under the Request box on the School's homepage.
Create an event on the School Calendar and check the Managed Event box. Then this event will show up under Utilities / Event Manager where you can manage the event, open registration and see participants. This feature can be used if someone wants to send out a request to meet a certain need. For example, if a coach needs volunteers to work concession stands, they would create a request to request volunteers, and it will show up on the home page of all site users (staff, teachers, parents, and students).
Volunteer Mgr is a new feature under Specialties that allows the school to create volunteer opportunities that are linked to a calendar event. Learn more here Specialties | Volunteer Mgr.
How do I use Event Log Summary to list discipline logs for a date range?
In Specialties| Discipline Mgr| Reports| Event Log Summary, you can specify which violations (All or one specified) you want to report on. Use the blue Modfiy Dates button at the top right to change from the default one month prior range if needed.
NOTE - In order to include a specific date's discipline log, the range will need to include the day after. For example, to get one day's worth of logs, e.g. for 2/7/2011, set the dates to 2/7/2011 - 2/8/2011.
How does Discipline Manager work? How about Detentions?
The first step in using Discipline Mgr is for a school to create the violations they deem necessary. To do this, go to Specialties| Discipline Mgr| Violations. You may first create Groups, then create New Violations and put them in a Group.
Once violations are created, Discipline logs can be created, either by the Discipline Manager or by any teacher through the My School| My Discipline Logs area, with the ability to PAN the discipline manager and parents. A teacher will only be able to view their own logs. When someone fills out a discipline log, it will show up under Daily Log in Discipline Mgr. The Discipline Manager will be able to view all discipline logs.
When the Discipline Manager wants to view the logs, they can click on either the icon (paper with red x) to the left of the name or the student's blue name link. When you click on either, it opens a window that shows the Discipline Logs section and Detentions section for that student. Each section has a New button. This is where you can create a detention, if desired, for the student. When you create a Detention, you can assign a teacher to it. It would be advised to send a PAN to the teacher when they have been assigned.
When the student has served detention, the teacher will go to My Disicipline Logs | Monitor tab, click on the Posted date and put in the date the detention was served plus any notes they might want to include.
The Discipline Manager will be able to then go under Discipline Mgr>Detentions to see the details of the detention and whether it has been served or not. It can be updated from there also.
NOTE: Parents can not view the discipline logs from their site. When the discipline log item is created, the staff person can select to PAN to parents. If schools want parents to be able to view logs, the Discipline Manager can use the Discipline Mgr| Reports Year End Processing report| Process - which will put a discipline log note in the students Document section. If you processed these weekly, they would overwrite previous version. DO NOT clear discipline records until you actually do the year end processing (you'll process all one more time) then clear out the entries.
The following setup will allow teachers to choose the length of their conference times (e.g. 5 mins. 10 mins).
This example is for teachers who want to have families schedule for 20 minutes or 30 minutes.
What you could do to make both increments work would be to set up the times to be in 5-minute increments. Then, for those that want to schedule every 20 minutes, the start time could be set to 8:00, and you would block 8:05, 8:10 and 8:15, and then the next open time would be 8:20. For 30-minute increments, the start time might be 8:00, then block 8:05, 8:10, 8:15, 8:20, 8:25, and the next open time would be 8:30.
How can parents see their student's service logs?
Parents cannot automatically see the service logs of students. A workaround might be to run the Service Mgr| Reports| Year End processing - Students report - Process (not Clear). That will put the log into the Student Documents so that parents can then view the log. You can run that report as often as needed, It will just overwrite itself each time with new current totals.
How does a parent enter in a Service Log?
When a parent logs into Sycamore, they can add their service logs under My School | My Service Logs. The service log will show pending until the Service Manager has approved the service log, upon which time it will show approved. Parents can edit the service logs while they are Pending, until they are approved by the Service Manager.
What is the Pending Service Logs Report?
The Pending Service Logs report allows a user to approve multiple student and family service logs at one time. Simply go to the Service Manager | Reports | Pending Service Logs and select each name to approve or select the check mark toggle to approve all logs.
