FAQ's
How do I move or change the order of attributes in a report card?
The location of attributes in the report card is determined by the groups they are in. Under Academic| Grade Manager| Attribute Grades| Group button (top right), assign the side of the report card you would like that group of attributes to appear on. Also, make sure all attributes are assigned to a group.
How do we save multiple grade cards \ report cards, without over-writing the old one?
The system will save only one version of the student report card. In order to save an additional card in the same quarter, change the version of the card and the previously saved version will not be over-written. For instance, by default, the Quarter 1 card will be saved to the student's profile as Q1. In order to save an additional Quarter 1 card, change the version from Q1 to Q1a, and now both cards will be saved to the student's profile. This is particularly helpful for schools that run a grade card and an attribute card for a student.
Secondly, you can UNCHECK Post Grade Card to Student Documents and the card will not be saved to the student's profile.
What are the Narratives for?
Narratives allow teachers to enter a longer narrative evaluation on each student rather than be limited to the comment area. Once entered, a 'Narrative Evaluation' report can be printed via Academic | Grade Mgr | Report Cards. There are several report cards that will print narratives available from the list.
Narratives can be viewed from the Classroom | Evaluation | Narratives, in the Student Profiles | Grades tab and Documents tab (when report cards have been run) in Back Office Mgr and in the report cards.
How do we do Progress Reports?
There are a couple of different ways to handle Progress Reports.
First, the teachers have the ability to print out Progress Reports from their classroom, under Grade Books | Reports. This will print out a PDF file containing all assignment grades with totals.
Second, the school can print out a Report Card at any time and simply label it 'Progress Report' or any other label they wish. Some schools will generate Report Cards and use them for Mid-Term reports as well. We allow you to change the name of a Report Card so schools can generate and use these whenever they wish.
What should I know about creating report cards?
The Grade Mgr provides a tool for generating Report Cards for your school. There are several formats to choose from (basic formats listed below), choose the best format to meet your school's needs. Under System Help| Online Manuals| Academic| Grade Mgr| Report Cards, you can find more information on the different formats. Another good resource, with more details, in the online manuals, is also under Online Manuals| Academic| Grade Mgr| Grading/Reporting. Also, custom report cards are available for a required fee. Click here for more information.
Formats
Kindergarten - Landscape two sides with Attributes on both sides
Elementary - Landscape two sides with Academic grades on left and Attributes on right
Middle School - Landscape with Academic grades. Option to include Class Level Attributes.
High School - Portrait with Academic grades. Option to include Class Level Attributes.
Attribute Only - Landscape two sides with Attributes on both sides, Portrait one column, or Portrait - Multipage
Narrative Evaluations - Portrait with Narratives for one marking period. Also, the option to include Grades and/or Attribute Grades.
Attributes
Grade Level Attributes are created in Academic| Grade Mgr| Attribute Grades. On the Kindergarten and Attribute Only Report Cards, Attributes will be displayed on the side from which the 'Group' has been set to (create Groups using blue button at top right of Attribute Grades screen). When creating Groups, the 'Side' parameter is used to determine which side of the Report card the group will be displayed on. Left or Right are the available options. If none is selected, Right is defaulted
Posted Grades
Grades that are posted within the classroom will be used to generate Report cards. Any grade a student receives, no matter what type of class it comes from, will be displayed on their Report Card. If a student receives many different grades for different subjects in the '5th Grade' class and then receives several other grades in other Jr/Sr classes, all these grades will be presented on one Report Card.
Schools will typically set some sort of guidelines for teachers in Posting grades. Once the quarter has completed, the quarter can then be locked down via the 'Grade Mgr / Configuration' menu. Locking down a quarter will not allow any more changes to student's Posted Grades.
Student Documents
When generating Report Cards, there is an option highlighted in red, that will allow a copy of the generated Report card to the students profile under the Documents tab.
School Logo
Report Cards can have your school logo displayed if uploaded within the 'Site Admin / Information' area. A 200x200 JPG file is needed to ensure proper display.
Printing
Our Attribute Only, Kindergarten, and Elementary report cards are designed to be printed in landscape mode and folded in half. We recommend to our schools to print a cover page with both the front and back covers respectfully printed. On the front cover could be your school logo and whatever else you may wish to have displayed and on the back cover could be used to print out a grading key or a parents signature area if needed.
Once your cover page is printed, simply print report cards on the backside of these and then fold them in half to get a nicely formatted report card. Academic and Attributes grades printed on the inside and your custom printing on the outside covers.
The High School grade card is designed to be printed and then folded up and placed into an envelope with a window to display the parents address thru the window
Sort Order
Classes/Subjects sort on report codes in the following order:
Priority field (selected on class profile for all classes and can also select subjects in Day Long classes under Grade | Subjects.
When the class starts (i.e. S1 or S2). S2 classes would print after S1
Alphabetically.
How do I set up a report card key?
Go to Academic| Grade Mgr| Attribute Grades, select the blue Key button at the top right. Add the value (abbreviation of the grade) and the name of the grade. For example: O (value) for Outstanding (name).
Which report cards show overall numeric average?
The High School format report cards (High School, High School + class level attributes, and High School + Narratives) provide the option to show the overall numeric average. What some schools end up doing is running multiple grade cards per student. You would need to make sure that the report cards are saved as different versions so they can be saved separately in the Student Documents. All daylong grades will be included in the numeric average as well as those period long classes that have GPA/numeric checked in the grading tab.
What is the step-by-step process to generate report cards?
Step 1) Ensure your teachers have submitted grades for students.
Step 2) From the left hand navigation menu, select ACADEMIC and then GRADE MGR. Click REPORT CARDS.
Step 3) Choose the correct session, semester or quarter you would like to run grades for.

Step 5) Select the configurable options such as how you would like the grades displayed (number/letter/both), signature line, etc via the check boxes.
Step 6) Pick the grade you would like to run report cards for

If you select the box to require e-signature on the documents tab, instead of a green button, you will have a red circle with a check, meaning that it is requiring an e-signature. Once the document is signed by the parent, a little pencil icon will appear to the right of the Red Circle with the check.
If you do NOT check the box to require e-signature, then a Green Require button is there on the Documents tab for you to click if you would like to make it required AFTER the Report Cards have been posted to the student account on an individual basis.
Note: If there is a Family 1 and 2 for the student, only one parent will be able to sign the report card because technically both families are viewing the same report card
