Does Grade Processing Delete Manually Entered Classes
Running the 1 Grade Processing report will add the grades from the Grade Books, but will keep the manually added class grades intact. So, those manually added classes will not be removed.
Test Scores on Transcripts
The test score area is limited to eight tests.
Why are the school years not showing on the transcript?
This is caused by the Graduation Year not being populated on the student's profile under Back Office. The Graduation Year is where the transcript calculates the years.
The Graduation Year can be added to an individual student by going to their profile - General tab. It can also be added in bulk using the Student Graduation report under Back Office Mgr | Reports.

Full Year Class Setup
The values you use for your full year classes in the Weight and Credit fields for High School classes depend on how you want to display them on the High School transcripts (set in Academic| Transcript Mgr| Configuration| Full Year Classes). Also, the weight field values are relative; the actual value used is not critical, only that the amount makes sense proportionally to the other weights used. The credit and weight values below are just examples.
If you want to display grades by semester (2 Lines) on the transcript, complete the following steps:
Credit = The amount the student will earn in one semester
Weight = Same value as a full time semester class.
When you run Grade Mgr| Reports| 1: Grade Processing for each semester, the weight and credit values will be the same as those in the class profile| Grading tab.
So if you have full year classes and semester long classes, your settings will be on of the following.
Full Year: Credit = 0.5/ Weight = 1.0 (that way by end of semester 2 they will earn full 1.0 credits)
Semester: Credit = 0.5/ Weight = 1.0
In this scenario at the end of semester 1 each type of class will have the same credit and weight (the same impact on the GPA); but at the end of semester 2 the full year class will have twice the credit and weight because it will show on two lines (will impact the GPA twice as much as the semester long class).
If you want to display grades once per year-long course (1 Line), complete the following steps:
Credit = The amount the student will earn in one year
Weight = Twice the value of a full time semester class.
When you run Grade Mgr| Reports| 1: Grade Processing for first semester, the weight and credit values will be half of those in the class profile| Grading tab. Running the report for the second semester will then overwrite the first semester line, showing the full weight and credit earned for the full year class.
So if you have full year classes and semester long classes, your settings may be the following.
Full Year: Credit = 1.0/ Weight = 2.0 (that way by end of Semester 2 they will earn full 1.0 credits)
Semester: Credit = 0.5/ Weight = 1.0
In this scenario at the end of semester 1 each type of class will have the same credit and weight (the same impact on the GPA); but at the end of semester 2 the full year class will have twice the credit and weight (will impact the GPA twice as much as the semester long class).
Transcript vs Posted grades - The Transcript grade will always show the more specific grade (to 100th place), and the Posted will show it rounded (unless a school is using non-rounded grading scale). Then, under Academic | Transcript Mgr| Configuration | Transfer Grade option, a school can pull into the transcript from either field.
What Does Unweighted GPA Do?
Unweighted GPA will calculate GPA based on the Standard GPA scale.
Unweighted GPA will only show on the transcript list and transcript when unweighted is checked.
Numeric Averages
Sycamore Education uses a weighted Numeric Average to post on the Transcript for each year. The weighted Numeric Average is calculated by multiplying each numeric percentage grade by the weight to get weighted Average Points, then add those points and divide that sum by the sum of the weights. Weight is a field that is entered into each class profile (and gets forwarded to transcript grades); it is not the same as the Credit field but often is equivalent.
The Cumulative Numeric Average on the transcript is calculated as a weighted average of the years' weighted numeric averages (similar to the way the Cumulative GPA is calculated).
There is a field on the class profile, Weigh Numeric Average, that if checked will also weigh the grade in the numeric average as displayed in the student profile and report card.
Transcript Notations for AP, Honors and Non-Local Classes
How do you distinguish between honors, AP and local and non-local items on the transcript?
Here are the built-in indicators based on transcipt grade fields:
Non-Local classes = (name of class)
Honors classes = * after class name
AP classes = ** after class name
If you commonly have all these options, you may want to include some text on all transcripts. In Academic| Transcript Mgr| Configuration| *Display Options - General Note, you can type text:
" Non-Local classes = (name of class); Honors classes = *; AP classes = **"
This will show up at the bottom of each transcript.
For those students who have taken classes at other institutions, you can either note the institution in the class name, or add this information to their Additional Information section on the transcript (accessed through Administrative | Back Office| Student| Grade tab| Transcript button| Notes button).

Adding notes to the Additional Information section on High School Transcripts
Information specific to an individual student can be added to that student's transcript. For example, if a student is in an Honors or AP class, the class will have an * or **, and you will want to add this description key to their Additional Information section. You can edit this section through Back Office| Student| Grade tab| Transcript button| Notes button).
Transcript Year and Graduation Date
Why doesn't the transcript show the year for the grades?
To get the transcript to show the year for the grades, there has to be a graduation date in the Student profile. Use the Back Office| Reports| Student Graduation report to batch edit these fields.
Why doesn't the graduation date display on the HS transcript?
To get the graduation date to display on the transcript, there has to be a graduation date in the Student profile and the student needs to be marked as Graduated. Use the Back Office| Reports| Student Graduation report to batch edit these fields.
Send Transcripts Electronically
Sycamore School supports Parchment, which is a company that offers a service that will allow a school to send transcripts to a college electronically. Schools have to sign up for their service and then when viewing a students transcripts, simply print the transcript using Parchment's print driver, which will send it to them. Register with Docufide at https://www.parchment.com/
HS Credit Not Appearing on HS Transcript
In the class site| Admin| Students, the student needs to be marked as HS credit before the grades get posted in Grade Book. Those will then be marked as HS Level credit, so when the grades are posted to the transcript, that field will propagate through. If this was not done, then you will need to repost grades in the class, then repost to transcript. You can now go to a student's profile| Grades tab| transcript button, go to HS tab, select Grade = Lower Level with HS Credit, then at the bottom select the HS Transcript B and Generate and you will see those grades appear on the HS transcript. The format A cannot be used with this process.
Can Parents & Students See Cumulative GPA?
High school cumulative GPA is only viewable to parents and students from the high school transcript. If transcripts are made to be viewable to parents and students, they can then see it on the student's profile once transcripts have been posted to the Documents tab.
