Accommodations, Meals, & Travel Info

Accommodations

We aim to make CUWiP accessible to everyone. All meals and accommodation during the conference are organized and the costs are met by CUWiP. You do not need to book or arrange accommodation on Friday or Saturday night. Participants will be booked in one of the two hotels listed below. Participants will be assigned two to a room. Participants may specify roommate preferences on the registration; otherwise, roommates will be randomly assigned by the organizing committee. Shuttles will be provided to transport conference attendees between hotels and conference venues. 


Unfortunately, there are no official on-site child care options at Stanford available for the conference. However, the following options are available for off-site child care and subsidized child care (off-site child care that is not offered through or managed by Stanford University):

Meals

All meals from Friday dinner through Sunday lunch will be provided. We will request dietary restriction information on the registration form. 

Travel Reimbursement

Travel to the conference is usually paid for by your home department. In cases where your own department, or other sources, can not cover the cost, there are funds available to provide support for travel to CUWiP so no one has to miss out on CUWiP for financial reasons. In order to access those funds, please email cuwip2024@lists.stanford.edu to request travel support at the time of registration along with a statement from your department.

Travel costs will typically be reimbursed after the conference. Before you book a plane ticket, or any other travel ticket costing more than $100, you must first email the cost and itinerary to cuwip2024@lists.stanford.edu to receive advance permission prior to incurring the cost. Significant costs which are not pre-approved may not be reimbursed.

Air Travel, Transit, & Parking

SLAC and Stanford are approximately equidistant from San Francisco International Airport (SFO) and San Jose International Airport (SJC). Oakland International Airport (OAK) is within approximately an hour’s drive outside of rush hour (with traffic, the trip time can nearly double). 


Stanford's campus is adjacent to CalTrain's Palo Alto station, and can also be reached by various forms of public transit. Once on campus, on weekdays only the Stanford Marguerite bus system provides transportation around campus, to/from SLAC, and to the surrounding area. Both Uber and Lyft operate in the Bay Area. Both are generally reliable and easily available. Note that rideshare drivers may not be allowed past the SLAC security gate (the SLAC conference venues are a short walk from the gate).

Parking for conference attendees at the hotels will be included. Parking on Stanford Campus is free after 3:00pm on weekdays and all day on weekends. Park in designated visitor areas (see the shaded purple regions in this map). Parking on SLAC site is always free.
