Zoom Phone allows you to create any number of standard or specialized voicemail greetings for various times and scenarios, including during your regular business hours, closed hours, and holiday or extended leave. You can access your voicemail messages in several ways: through the Zoom app, in your Smith email, the Zoom Web Portal, or your desk phone.
We recommend customizing your voicemail greeting. If you choose not to add your own greeting, a default greeting will play. Zoom allows you to create multiple greetings for various time periods, including during your regular business hours, closed hours, and holiday or extended leave.
Log into the Zoom Web Portal, select Phone from the sidebar menu, then select the Settings tab.
Scroll to the appropriate Call Handling section (start with Business Hours for a standard greeting) and select Edit under Greeting and Leave voicemail instruction.
Select Add audio to create a new greeting.
Choose one of the following options:
Text to Speech
Enter a name for your greeting.
Select the category (voicemail greeting).
Enter your greeting text in the window and select a voice.
Select the play button to listen to your greeting.
When you are happy with the greeting, select Save.
Note: When using text to speech, you may need to spell out certain things phonetically. For example, if you give your email address, ".com" should be entered as "dot com". Be sure to use periods and commas to ensure adequate pauses in the speech.
Record by Computer
Enter a name for your greeting.
Select the category (voicemail greeting).
Select the red button to record your greeting.
Select the play button to listen to your greeting.
When you are happy with the greeting, select Save.
Once you have created a voicemail greeting, it is added to your asset library and can be selected again in the future.
If you have created several greeting versions for different time periods or scenarios (ie, business hours, extended leave, class time), they are saved in your asset library and can be selected for use at any time.
Log into the Zoom Web Portal, select Phone from the sidebar menu, then select the Settings tab.
Scroll to the appropriate Call Handling section and select Edit under Greeting and Leave voicemail instruction.
Select Choose from asset library.
A new window will open, showing all of your existing greetings.
Select the circle next to the greeting you'd like to use, then Save.
From your phone, select the envelope button or dial *86.
When prompted, dial your voicemail PIN followed by #.
Select 2 to record a new greeting. The greeting will be added to your asset library.

New voicemail messages are indicated by red dot notifications in the Zoom app and a flashing indicator light on your physical desk phone. Please note that a flashing light on a physical phone can also have other meanings, including missed calls. For more information, see Yealink Phone Light Indicator.

To access your voicemail in the Zoom app:
Open the Zoom app on your computer and select the Phone tab.
On the left side of the screen, select the Voicemail tab.
Select the call. You'll see a transcription of the voicemail message.
Select the phone icon to return the call.
Select the triangle to play the audio.
Select the three dots for other options, which include creating a contact, blocking the number, and deleting the voicemail.
When you receive a voicemail, a message will be sent to your Smith email address from Zoom. The message includes a transcription of the voicemail and an audio file.
To access voicemail from a web browser, log into the Zoom Web Portal, select Phone from the sidebar menu, then select the Voicemail tab.
To access voicemail from your desk phone, select the envelope button or dial *86. You will be prompted to enter your PIN. Follow the menu prompts to listen to your messages.
Note: Your PIN is created during the initial setup of your Zoom Phone account. To view or update your PIN at any time:
Log into the Zoom Web Portal, select Phone from the sidebar menu, then select the Settings tab.
Scroll down to the Desk Phone section.
Next to PIN code, select Show or Edit.
We recommend using one of the methods above to access your voicemail. If it's necessary to check your messages by calling your Smith number from another phone, you'll first need to update your settings to allow it.
To update your settings:
Log in to the Zoom Web Portal, select Phone from the sidebar menu, then select the Settings tab.
In the Call Handling section, scroll down to Business Hours
Under When a call is not answered, select the box next to Allow callers to check voicemail.
Select Save.
Note the circled number next to Check voicemail by PIN Code. This is the menu option you'll select to access your voicemail by phone call.
Scroll down to Closed Hours and repeat the steps above so that you can access voicemail at any time of day. Note: You will only see the Closed Hours section if you have customized your Business Hours. If you do not see Closed Hours, that means your Business Hours are set to 24/7. To access your voicemail using this method:
Call your Smith phone number. When your voicemail greeting plays, select the menu option number noted above, used to check voicemail by PIN Code.
Enter your PIN, then follow the prompts to listen to your voicemail.
