MINUTES:
1. It was discussed and decided that all Swans will try to identify resources for organizing Hum Honge Kamyaab upto 15th Dec 2010.
2. Requirements for this event are Auditorium, Light, sound and tent items, Meals for 3 days for participants and organizers, and Prizes.
3. If resources are not identified or finalized by 15 Dec, then the event will require to be shifted to March or later next year.
4. More Volunteers are required for Arushi and Parvarish flocks. For this some decision are taken:
• Fill up or update the vacancy block on website
• Take weekly Preferences.
• Commitment should be fulfilled by volunteers.
• In case a volunteer is not present for more than 2 months without information, strict action should be taken.
• Two chances of uninformed absence after commitment will be given to volunteers. After that they will be removed from the Flock.
• Pre-inform the absence by volunteers to that Particular Flock Leader.
5. Minimum 3 volunteers are required for Parvarish flock each day.
6. Abhishek Rathore will submit the flock assessment sheet for Arushi (upto Oct end) by 4th Dec2010.
7. Arushi Singh (Flock Leader for Arushi) will add her friends from her hostel in the Flock, and also get them registered with SWANS.
8. PR and Need Assessment Flock has be reconstituted as:

9. Shantanoo has taken 1 week for assessment of Arambh and Muskaan Flocks.
10. Navodaya Project needs more volunteers and currently it is going on at Banskhedi (7pm to 8pm) by Swans Rajul, Madhur, Aditya, Harish.
11. Udaan Time Table has been rescheduled as:
• Computers – 10 am to 11 am
• Acting ¬- 11 am to 12 noon
• Dancing - 12 noon to 1 pm
• Singing - 1 pm to 2 pm
• For younger or Little ones - 11am to 1pm
12. On the Last Sunday of every Month a Competition or Performance show will be held. It will help to assess students of UDAAN as well as its Volunteers.
13. Rajul will submit Cygnets to Swans Assessment sheet of Cygnets in Navodaya Flock till 10th dec 2010.
14. Deadline for submitting assessment sheet by Flock Leader would be First week of Next month.
15. Mentors Assessment sheet should be maintained by the mentors. Deadline for this Dec first week.
16. Submitting Monthly assessment sheet of swans will be submitted till 1st week of Jan 2010.
17. Theme for PEHAL-2011
The following themes were suggested for Pehal 2011:
• Self sufficiency of Rural Area.
• Traditional Solutions to Modern day problems.

The planning for Hum Honge Kaamyaab - Talent Hunt for slum children was done as follows:
Participation in the competitions will be through NGOs.
SWANS will contact various NGOs and ask them to nominate children for the competition.
Children will be divided into 2 age groups 5 to 9 years and 9+ to 14 years.
Age verification will be done by the respective NGOs.
Each NGO will send a max of 10 children in each age group.
A child can demonstrate only 1 talent (best). Only solo participations will be allowed.
All talents will be acceptable except for those using fire, arms, etc or leading to physical or mental injury to self or others.
Physically challenged participants will be allowed without any bias or relaxation.
Day 1: Selection of 10 children (Age 5 to 9) for Finals.
Day 2: Selection of 10 children (Age 9+ to 14) for Finals.
Day 3: Finals: 3 awardees from each age group.
Cash prizes will be given to the respective NGO so that the child gets what he/she requires.
Trophies will be given to the Awardees.
Tentative Event dates: 14, 15, 16 January 2011.

Feedback of the PARVARISH ANNUAL FUNCTION was taken from all.
Shibani mam and Pradeep sir thanked everyone for their untiring efforts in organizing Parvarish's Annual Function
They also pointed out some areas of concern that need to be corrected.
Older swans shared their experiences and learnings as a SWAN .
A brief introduction about UDAAN was given to new swans/ cygnets.
Dupanshi was appointed as the flock leader for UDAAN.
Swadesh was appointed as the flock leader of PARVARISH.
Garima Garg (ex Queen) was welcomed back after her return from Delhi, and given a special task of Coordinating the Social Credits Assessment of all Swans for the year 2010.

3. DHUNWANI:
a. Praharsh gave an update of their visit to Dhunwani early this month and the groundwork they have done for teaching the villagers how to grow right seasonal vegetables to overcome their nutritional deficiencies. He said that a small piece of land has been given by a villager for the purpose.
b. The next visit will be with the onset of monsoon. Date of visit will be decided as the first rains arrive.
c. He asked all Swans to search their information sources to find out vegetables that are iron rich and get details about their right time of sowing, irrigation, care and harvesting along with right kind of soil etc.

1. UDAAN:
a. PROBLEMS AND SOLUTIONS discussed in the meeting
b. Some changes that will be implemented from the next class i.e. 15 May,2010 (Saturday) onwards are:
- Time duration will be 10:00 am - 2:00 pm
- instead of an hour break, children will be given small breaks after every class or when required
- Atleast 4 volunteers will be present
- A leader will be made for every activity,whose basic work will be to co-ordinate the other members, and specify their target course(for a month or so) and make sure that their group members prepare themselves before coming for the class.
- Some activities have been replaced by others, such as:
1. working model -> art & craft;and
2. creative writing -> story telling
2. Choosing Flock Leaders:
A suggestion by Mr. Pradeep Ghosh was given that instead of making the flock leaders only on the basis of credits earned by them in a flock, a list should be prepared of highest social credit earners and the King and Queen should decide the flock leaders among them. But the same will only be put into the charter after experimenting the same this session (year).
3. Arushi and Arambh Flock:
Since the engineering swans are busy with their exams, others are requested to even volunteer in ARUSHI AND ARAMBH FLOCK. Details of the Flocks and their leaders are given on the Flocks and Groves page.
4. Dhunwani Flock:
Praharsh, NInad, Roopak and Arpit will be visiting Dhunwani on 18th & 19th of May, 2010 to research and plan out the activities to be performed in the next visit.

2. SWANS Weekend Museum School
It was decided that a group of Swans will teach extra curricular activities and personality development to the children of The Museum School and other children from the slums every weekend. This flock will start functioning from 1st of May, 2010. Four(4) classes(of 1 hour each) will be held on every Saturday and Sunday with a break-time for the kids. The time of the classes will be 11am-12noon, 12noon-1pm, 3pm-4pm, 4pm-5pm at Regional Museum of Natural History.
Various activities which can be taught to the children were discussed and decided. Also, A list of interested volunteers was made which is as follows:

3. DHUNWANI Flock
Praharsh explained the details and status of Dhunwani village and the work that requires to be done there. He mentioned that the flock will visit Dhunwani in the month of May to set up the vegetable garden for the villagers followed by planting the vegetables after the first rains. Also a visit in April before that will also be required.
4. Action against inactive SWANS/CYGNETS
It was observed that some Cygnets had not started any activity after registering themselves with SWANS. It was decided that these Cygnets will be sent emails and sms asking them to complete their 7 days internship in the coming 2 months failing which, their membership will be cancelled. It was also observed that some Swans had suddenly become inactive without any information and without any valid reason. It was decided that these Swans will be sent reminders by emails and sms. It was decided that SWANS will also consider cancellation of their membership if they are inactive for a long time without any valid reason or information.

1. Heritage Activity @ Bhojpur:
Swans with ASI members would visit Bhojpur for Awareness campaign on 12th February 2010 and have been asked to assemble at the ASI office at 8.30 a.m. on 12th morning.
2. PEHAL 2010:
Shrey and Kanika updated the Swans about the progress of PEHAL 2010.
The promotion has been done in nearly all the colleges. Those colleges that are yet to be covered for promotion shall be done by Tuesday i.e. 9th Feb.
The sponsorship team and the awards team have been combined into one.The members of this team are: Shrey, Abhishek, Harshit, Himanshu, Garima, Shreya and Swadesh. A list of specific institutions and corporate was made which will be targeted for sponsorship. Pradeep sir will be taking the lead in this regard.
3. Need Assessment of Arushi and Muskan :
Swans and Cygnets were informed about the volunteer requirements of the two NGO’s/Groves, which have also been put up on the Swans web-page - NEW GROVES IN BHOPAL.
Also Swans interested in contributing in these groves were asked to contact –

4. SWANS - Weekend School for slum children

Briefing about Sanchi Camp:
The Swans who went for the six-day Heritage Camp organised by Archaeological Survey of India (ASI) at Sanchi briefed the other Swans about the learning from the trip. They explained the various aspects of Archaeological Heritage preservation conservation and the role of citizens and tourists that they learnt from the ASi team. They also explained how ASI expects SWANS to spread this awareness about heritage among public through school children.
Evolving SWANS PONDS concept from the Sanchi Camp:
The school children who were part of the Heritage Camp were also present at the meeting. During the meeting the SWANS ponds concept was discussed as follows:
Concept of Ponds:
Mr. Ghosh then carried on by highlighting the concept of “Swans Ponds”. Now like an institute is called a Swans nest, a school would be termed as a Swans pond. The children will be called CYGNETS and will form flocks to work in CLUBS rather than groves. He also shared with the Swans and cygnets some guidelines and criteria for selecting students for these ponds(which will be put on the website as and when agreed upon).
Swans has already found cygnets in the following schools/PONDS and also provided them with the following mentors:

Mr. Rakesh Prasad Soni proposed some activities that can be conducting in the clubs specially the environment club and Nature cure Club such as growing of saplings, visit to Delabari Sanctuary.
Heritage Flock:
Mr. S.B.Ota from ASI briefed about ASI’s objective of integration of the various NGO’s and individuals working in isolation. ASI basically require Swans for Manpower, Maintenance of heritage sites, asking schools for their space and time and also creating awareness among the teachers themselves. He even suggested activities to be conducted under the Heritage Club.
The School students also shared their learning experiences at Sanchi and Bhimbetika.
Pehal 2010:

Dhunwani Flock: Members of the flock visited Dhunwani on 8th Nov to take forward the initiatives they started during the last camp. The subgroups of livelihood, education and health described their activities as follows:
Education - Rajul Gupta: Swans have taken he initiative of preparing the Std IVth and Vth kids of the village to appear in the Navodaya exam. Rajul also took a session for the children and found their weak areas. A Xth pass villager Chandan has been associated for this activity. Swans of the Education subgroup will visit Dhunwani every weekend to train the kids and direct Chandan what to do in the rest of the week. Chandan will be paid a salary to train the kids for 2-3 hours everyday. Rajul will share the Navodaya format and curriculum with his team members and Chandan.
Health – Sonam Shrivastava: According to the Survey done in the last trip to Dhunwani village, Swans found that the villagers suffer from deficiency of calcium and iron, specially the woman folk. Hence, in the coming trips and visits, Swans will brief the villagers about their Diet and nutrition.
Livelihood – Praharsh Bhandari: An area around the school has been identified to develop as a vegetable garden with a compost pit. In the next visit the area will be cleaned off weeds by the villagers. Swans will take vegetable seeds from Bhopal to sow them in quarries. A water track will be made from the nearby well to the garden. This well usually used for lifting drinking water always has spill overs. The spillovers will be routed to the vegetable garden through the track. Swans will also try to develop a water lifting and irrigation solution from the nearby canal using solar energy. This flock will undergo a training on water and soil sample collection by Indian Institute of Soil Science (IISC). In the next visit, the samples will be collected accordingly. After analysis of the samples by IISC, Swans will develop the area as per their direction.
Rural Education Plan: Swans is also intiating a project named parallel to the Navodaya model. Selection will be done from the Navodaya entrance exam. The students in this project will be taught rural technologies, so that they can become resources for rural development. The project will be initiated in January 2010 and the first session would begin in June 2010.
ASI (Archeological Survey Of India) supported Heritage Flock: Swans is coming up with a new Flock called the HERITAGE flock with the help of the support of ASI. ASI will train the flock on creating awareness on and conservation of Heritages. This flock will assist ASI in spreading the awareness among school students through visits and camps supported by ASI. The first such awareness will be done through an “Inter-school debate” to be organised in December 2009 followed by a 5 day camp from Dec 25-30. Tentative dates are:
Dec 6: Orientation of the flock by ASI at one of the heritage sites.
Dec 20: Inter School debate.
Dec 25-30: Heritage Camp with the selected students
Swans of this flock will accompany the school children for the 5-day camp, where Swans will educate and train the kids on the conservation of our heritage sites.
Mumbai SWANS: Description regarding the developments of Swans in Mumbai was given by Manisha Garg, which includes need assessment of NGO’s and approaching the various colleges and explaining the concept of SWANS through PPT’s.
Museum School Flock: The idea of running The Museum School as a Swans project is in progress. The flock decided to get trained by OASiS in the coming six months and initiate the project from the next session starting June 2010.
Friends of Forest: The Forest department has initiated a Friends for Forest group, and has invited SWANS to be a part of it. Swans has decided to form a Flock for the same and has requested the Forest department to allocate an area within the Ecological Park at Bag Mugalia. Forest dept will train the flock on plantation and care. This flock will develop the allocated area accordingly.
PEHAL: Tentative dates for Pehal 2010 have been decided as 20-21 Feb 2010 and discussion regarding the theme, various events and activities to be organized is in progress through the Swans Connect link on the Swans website. It was decided to finalise the theme by 30 November 2009.

AARAMBH FLOCK
Till now this flock used to visit the centres on Saturdays and Sundays. During the meeting it was decided that this flock will henceforth be made functional on all 7 days.
DHUNWANI FLOCK
The Livelihood, Education & Health teams shared the discussions they had with the villagers during the 2 day camp.
Certain tasks were decided which needs to be carried out during the next visit to Dhunwani by the flock members.
It was decided that the SWANS would visit Dhunwani to monitor work every 15 days. 1 person each from livelihood, education and health team is required to be a part of the monitoring group for that visit.
PEHAL 2010
Tentative dates of PEHAL 2010 have been decided to be 20th & 21st February 2010.

FRIENDS OF FOREST
A new flock is being formed which will be a part of “Friends Of Forest” which is an environment based Flock, details of which can be accessed @ http://www.bhopalforestcircle.org/Revised-Frieneds.doc . Friends Of Forest will be having its meeting on the first Sunday of every month. The next meeting for this flock will be held on 1 November at the Ecological Garden, Katara Hills. PARVARISH FLOCK
A new time-table will be made by the Flock Leaders for the Museum School & 10th flock which the volunteers will have to follow from now onwards.
DHUNWANI FLOCK
Some of the problems existing in Dhunwani (Forest Village) were discussed and some suggestions were made by the volunteers. These include:
1.Water Problem: Though Dhunwani has a very good ground water level, the availability of drinking water is not up to the mark. Hence measurements for betterment of well, hard water treatment methods and collecting water samples (for analysis) were thought of as the initial steps.
2.Education: Awareness about child education and the right way to implement it in real life needs to be done. Preparing children for Navodaya School’s admission test was also proposed.
It was also proposed that the SWANS create awareness about malaria / dengue, cleanliness, education (both children and adult) etc. through Nukkad Natika which will be performed during the tribal festival at Neelgarh on 1st October (night). A group was formed for the same.
To implement our strategies we require a map of the village. The mapping of Dhunwani would be done during the Dhunwani Camp (1st October – 3rd October).
DHUNWANI CAMP
The contribution money for the "Dhunwani Camp" has been decided to be Rs. 300, which takes care of the food requirements, tent house and the half of the travel expenses for the trip.

Minutes: The following issues were discussed in the meeting held on 09th of August:
· SWANS volunteers agreed to the idea of taking Museum School (parallel to PARVARISH) as a separate project of SWANS.
· To make the AARAMBH flock heterogeneous, volunteers/members from multiple institutes were invited to visit the AARAMBH centre at Ayodhya Nagar By-Pass. The following people have shown interest to visit the centre:

The meeting point was decided to be Chetak Bridge, in front of Jyoti Cineplex on 14th August at 1:00 pm. Abhishek Singh Rathore, Harshit Vyas, Himanshu Kalra and Saurabh Mukherjee will be accompanying the group.
· A tentative date for organizing PEHAL 2010 was decided. It may be held during the first or second week of February. The final decision regarding the dates will be made in the next meeting.
· Those SWANS and Cygnets who wish to register themselves for the 3 day, 2 night camp at Neelgarh & Dhunwani (Ratapani Sanctuary) may do so by sending your Name, Address and Contact No to swans.bhopal@gmail.com latest by 15th September.
All Swans can participate in the camp. Those cygnets who would have completed 7 days of their assessment period till 30th September 2009 can also register themselves for the camp. The details of the camp will be announced later and groups formed from among the registered participants for organising the camp
· The volunteers have approved of the idea of having a SWANS T-shirt. The cost of T-shirt (cloth and printing) will be notified in the next meeting.

Dhundwani Flock: A trip has been planned in the month of October to Dhundwani village, which will be a 3 day, 3 night camp. The members interested so far are: Divya, Sonam, Ankita, Shivangi, Vijay Singh Bhadoria, Abhijeet Shrivastava, Shashank, Anjali Jain, Swati Jain, Mohini Verma, Rajul Gupta, Ram Jaiswal, Avan Shrivastava, Harshita Vyas, Abhishek Singh Rathore, Bhawesh Deshmukh, Pradeep Ghosh, Garima Garg, Ashish Nair, Chanchal Gaur, Paras Sahni, Kanika Tyagi
Aham Bhumika- Project for collection of old toys: Some collection points were decided in different areas where the volunteers can store the toys or things collected by them. One such point is in Ayodhya Nagar. Further information will be provided as soon as all the points will be decided.
10th class flock: Kanika Tyagi(10th Class, Flock Leader)floated information regarding the need for volunteer's to teach (specially ECONOMICS) to Lakhan-The 10th class Student. Till monday i.e. 27/07/09 a time table will be made after consulting Mrs. Shibani Ghosh(Parvarish).Also if their are SWAns/Cygnets interested in joining the 10th Class Flock, they are requested to contact the Admin Flock.
Digdarshika: As circulated earlier, the volunteer requirement is a group of 25-30 Swans, Some have already given their names.As soon as Subodh Agarwal(Need Assessment Flock Leader) will fix up a date with this particular NGO, Swans will start their work in this grove too.

Minutes: The following issues were discussed in the meeting held on 28th of June:
Mr. Subrat Goswami introduced an NGO named "AHAM BHUMIKA" to SWANS for which sooner a flock will be made. Its need assessment was done in the meeting itself.
Also, the village named "DHUNWANI" which Swans visited recently will be taken up as a project of SWANS and a flock will be created for this, too. The data collected from Neelgarh and Dhunwani will be entered and analysed. Following the analysis, the flock will plan an integrated solution for the village, discuss with Forest officials and implement it. Pradeep sir will guide the flock. Praharsh was made the Flock Leader for this flock.
Dr D P Sharma said that Mr Anurag Shrivastava (IFS) known to Dr Sharma can help us in the project planning exercise for Dhunwani, and can provide help from his department.
Shibani mam and Ratna mam would submit the requirements of their NGO named "WE" to the need assessment flock.
The need assessment of DIGDARSHIKA would be done after 5th of July by the need assessment flock (Subodh, Flock leader) under the guidance of Pradeep Sir.
The document content for the Public Relations flock is being developed by Ashish and Ratna mam( Secretary, SWANS). This would be further given to the SWANS (Subodh, Avan and Ram) who start their internship at Madhya Advertising from 17th July onwards for developing a presentation.
The assessment of swans now onwards would be done on the basis of the judgment criteria/parameters designed by XLRI, Jamshedpur and IIM Indore, as SWANS has received the combined methodology.
The PR Flock will start liaising with colleges. Trinity college has shown some interest and the PR group will fix up dates and time with them.
Also, As discussed before, the RENEWAL of yearly membership and assessment of Swans will be done twice in a year, basically in the month of February and August as decided in todays meeting.
Please note that from now on Parvarish is being held on Saturdays too.
