Click Composite Merge Fields on the Ribbon
Double Click a Query in the Define Query Screen, or select a Query and then Click Modify.
Select a Composite Merge FIeld in the Define Query Screen and then Click Delete.
Click New button in the Define Query Screen.
Give your New Composite Merge Field a name and write a description to make it more easily identifiable. Select a SharePoint List on which to base the new field by selecting a query to use.
You can now construct your Merge Field. Take a look at the screenshot above. You can see that there are 3 lines added to the composite merge field being created. The four components of a Composite Merge Field Are as follows:
User Defined String: A string of text that you want to be displayed before you Merge Field data.
Select Field: Choose the SharePoint List column from which you wish to source your data.
Select Field Operator: This operator will be applied to the end of the line within the composite field. You can choose between Carriage Return, Space and Tab.
Operator Multiple: How many times do you want to apply the operator at the end of the merge line. i.e. do you want 3 TAB's or 2 Carriage Returns before the next line in the composite merge field.
When you have save your Composite Merge Field, all that remains is to add it into you document.
Click the Add Merge Fields button on the ribbon and then select the Composite Merge Fields Tab. Double click the merge field you wish to add to your document.
Try out your Composite Merge Field by clicking the Refresh All Document Data ribbon button.
The entire block is constructed and added into your document at the location of the merge field. When all of the data is present our example is constructed as you can see to the left.
If for whatever reason there is no data available for a particular List column used in the composite merge field, then the entire line in question is removed. The constructed block and is rolled up to the information you can see to the right. For this particlar user, there was no address supplied and so the User Address line of the composite merge field is ignored.
