VOLUNTEER JOBS

The group is run by its volunteer members and relies on everyone pitching in to help. Everyone helps, but we are keeping the packing of the fruit and veg and cleaning up on Monday nights to a small group only to ensure physical distancing. There are also specific jobs done on a weekly, monthly, occasional or ongoing basis.

Every 6 months we meet to go over the jobs and reshuffle them. We aim to share weekly jobs between a roster of 4 so each roster member only has to do the job once a month for 6 months and there's always back-up if there are times you can't manage it. If you value the group, help it keep going!

WEEKLY JOBS

• DISTRIBUTION NIGHT CO-ORDINATION/REPORTING

Weekly time commitment: 1 hr (5.30-6.30pm) on site on collection night + about 15 mins flexitime at home.

Tasks:

• Monday evening: open up, make sure delivered produce is checked off against invoice, oversee distribution and cleaning, lock up.

• At home during the week: Send a report to accounts person about any items spoilt or not delivered, so that they can follow up with the supplier. Scan invoices and send to group email address.

• FRUIT & VEG ORDERING 

Weekly time commitment: about 20 mins at home on weekend (Sunday)

Tasks:

• Sunday: Based on the number of orders, put in the weekly fruit & veg order using the worksheet/pricelist sent by the wholesaler. The order for Monday needs to be sent to the wholesaler by Sunday midnight. Generate sign-off/order sheet from purchases made through online shop and send to group with the order list.

• SPECIAL ORDERS

  • Weekly time commitment: about 20 mins at home on Friday

  • Tasks: 

    • Friday: Using the worksheet/pricelist sent by the wholesaler sent on Friday afternoons, place seasonal items in the online shop and send a notice to the email group to let members know that the items are available to order for the coming Monday.

• "CLOSING" AND "OPENING" ONLINE SHOP, GENERATING WEEKLY SIGN-OFF/ORDER SHEET

Weekly time commitment: about 20 mins

Tasks (all at home/online):

• Saturday night/Sunday morning: "Close" online shop (disable catalogue items).

• Monday night/Tuesday morning: Mark orders as "shipped" and "open" shop.

OTHER JOBS

• ACCOUNTS

Once a month, record tally income and outgoings in group bank account against orders and invoices, report at 6-monthly meeting.

• MEMBERSHIP & COMMUNICATIONS

Weekly time commitment: Variable, flexitime at home

Tasks: check emails to group account (2-3 times a week), answer questions about group, make sure people trialling a box have the relevant into, add new members to group email list. Website/Facebook maintenance.

• ONE-OFF PROJECTS

If you have ideas and want to take on a one-off larger project like organising files, improving systems, revamping website, applying for a grant... great!
