Dear Workshop Presenters:
President Ann Guiberson’s theme is Create Your Future, and, thanks to you, every registrant at the 2015 National Association of Parliamentarians (NAP) Convention will be able to capitalize their future by participating in your outstanding workshop offerings. This letter provides important information for workshop presenters that will enable the successful compilation of materials for registrants.
1. Biography: Presenters are requested to prepare and submit a short biography (100 words or less) in MS Word format for inclusion in the workshop materials. Biographies must be received at workshops@nap2.org no later than Tuesday, June 30, 2015. Please make sure you use this e-mail address.
2. Handouts: Presenters may submit a handout in PDF format, a maximum of six pages (three pages, double-sided) in length, for inclusion in the workshop materials. Handouts must be received at workshops@nap2.org no later than Tuesday, June 30, 2015. Please make sure you use this e-mail address. Presenters who miss the submission deadline will be responsible for bringing three-hole punched handouts to the convention at their own expense.
3. Registration: Presenters must register for the NAP convention no later than Sunday, August 9, 2015: http://www.parliamentarians.org/services/learning-opportunities/nap-biennial-convention. Failure to register by this date will result in the cancellation of your workshop. Register by Tuesday, June 30, 2015, to take advantage of the discount available with early registration. The deadline to reserve lodging at the Crystal Gateway Marriott is Sunday, August 9, 2015.
4. Workshop Schedule: A draft copy of the workshop schedule is enclosed. Please note that it may be necessary to make changes to this draft schedule prior to the opening of convention. If your workshop is subject to any scheduling changes, we will inform you. There is only a half-hour turnover time between sessions. Presenters must be prepared to move in and out of the workshop rooms in a timely manner. You may need to take follow-up discussions to the hallway.
5. Workshop Set-up: All workshops will be supplied with screens, LCD set-ups, and microphones. Additional requirements not specified on the proposals you submitted need to be approved by the workshop coordinators. Every presenter must bring his/her presentation loaded on a thumb drive. Presenters who are using their own laptop computers should also have their presentations saved on their laptops. Due to space constraints, some workshop rooms may be set up with theater-style seating.
