BEFORE YOU BEGIN
In order to add an image to a signature you need to have uploaded your image into a
directory on the University web server (if you have access) or onto an external site,
and have the URL to hand. Be aware also that graphics can slow the delivery of email;
it is therefore advisable to ensure the image size is below 100 KB.
Note: The recipient will also need to be able to view emails as HTML in order to view
your signature image.
SETTING UP THE OPTIONS
1. Log in and then expand the Options link on the left-hand side and click on Mail.
2. Under General Options, click the Personal Information link.
3. Select the identity you want to change. (This can be the Default identity, or one
you created previously, or you can create a new one.)
4. Ensure you delete any existing information in Your signature: box.
5. At the foot of the page, click on Save Options. You will now be returned to the
Options for Mail page.
CREATING THE SIGNATURE
1. In the Message Options section, click on Message Composition.
2. Click the link: To the stationery and form responses.
3. Type a name in the Stationery name: box (eg signature+image) and select HTML
from the Stationery type: list.
4. Click in the Text entry box. This activates the WYSIWYG toolbar.
5. Press ENTER and then click on the Insert Table icon.
6. In the Insert Table window the
following settings are recommended:
Rows: 1
Cols: 2
Width: 30
Fixed width columns: Clear
Alignment: Absmiddle
7. Click on OK.
8. Click in the first cell, and then click the Insert/Modify Image icon.
9. Enter the Image URL, and in the Alternate text: box, type a description of the
image (for Browsers which don't support images). Click on OK.

10. If necessary, resize the image by holding down the mouse on a re-sizing handle
and dragging to the required size.
11. Click in the second cell and enter your signature text, formatting it as required.
(Press SHIFT+ENTER to create a new line.)
12. When complete, click on Save Stationery at the bottom of
the screen—you may need to click on Maximize/Minimize editor button again.
COMPOSING A MESSAGE USING THE NEW SIGNATURE
1. Click on the New Message icon.
2. In the New Message window,
select the relevant identity.
3. Switch to HTML composition –
if not already selected.
4. Open the Stationery list and
select the stationery name
containing your signature and
image.
5. Complete the To and Subject
fields, and then click in the text box above your signature and compose your
message as normal.
MODIFYING YOUR SIGNATURE
1. To make changes your signature, eg to remove the table borders, return to the: To
the stationery and form responses window. (On the Application Navigation bar
click Options, Mail, Message Composition).
2. Click the arrow next to Create New Stationery, and select the name of the
signature to be modified and then click Edit.
3. Make changes to the text as appropriate.
4. To remove the cell borders, click on the Toggle HTML Source button .
5. In the HTML code, change the cellspacing, cellpadding and border values to "0".
6. Remember to click on the Save Stationery button at the
foot of the window.
7. Test your new signature by composing and sending a message to yourself.
