Q1: Who gets to vote?
One vote per lot (Bylaws, Article II, Sec. 2a).
If a lot is jointly owned, the co‑owners must agree on one vote.
If you’re more than 30 days late on dues, you lose voting privileges until paid (Bylaws, Article II, Sec. 2b).
Q2: How do I vote?
In person at the annual meeting.
By proxy (Virginia Nonstock Corporation Act § 13.1‑847 allows written proxy voting).
By ballot (drop‑off, email, or mail, as outlined in voting instructions).
Q3: What if my lot is owned by multiple people, a business, or a trust?
Each lot must designate one Voting Representative (Policy PR‑2025‑03). (pending policy approval)
Business entities: must file a Voting Representative Designation Form signed by an authorized officer.
Trusts: all trustees must sign a Voting Representative Designation Form naming one person.
Joint owners: may file a form to avoid conflicts. If no form is filed, the first valid vote counts. If conflicting votes are submitted, the lot is ineligible until resolved.
Q4: Can lease‑to‑own occupants vote?
Not directly.
The deeded owner(s) may give them authority only by proxy. Without a proxy, they cannot vote.
Q5: What happens if there’s a conflict?
If two different votes come in for the same lot, the Association will notify the owners.
Until a valid Voting Representative form is filed, the lot is ineligible to vote.
Q6: What legal authority allows this?
Bylaws, Article II, Sec. 2a: one vote per lot.
