Weekly Accommodation Charges for 2024

Priority member bookings for the winter season are available from February 1 through to 5pm on Friday 23rd February 2024.

How to Book Accommodation

Members will be notified via email (or mail in some exceptions) when the booking period is open. This email will contain a link to our online bookings form and contact details for the Booking Officer. All bookings must be made through the Booking Officer. The email address is mirrabooka.bookings@outlook.com.

Unfinancial Members & Booking

Membership fees are due and payable in January each year for that calendar year.  A notice is issued to Members in late December/early January.  Some Members are consistently late in paying their fees.  Members are reminded that only financial Members are eligible to book time in the Lodge and this rule is strictly enforced.  

Accommodation Guidelines

Members are reminded that the Club’s general rule is that all bookings should be made by a member and there must be a member in the party.  In certain cases the rule can be departed from on referral by a member and approval by the Board in its discretion

Cancellations

The Directors require at least 7 days’ notice of cancellation of accommodation. If a booking is cancelled, up to 100% of the accommodation charge will be retained if a replacement booking is not obtained. The amount of the retention will be subject to the discretion of the Directors as the circumstances warrant. 

Normally a refund of a booking will be made only to the extent that a replacement booking is obtained. Please note that the Directors have decided by way of clarification of the policy that the normal retention will be 100% of the accommodation fee for cancelled bookings where no replacement booking is obtained, absent extenuating circumstances. This has been necessary due to unfortunate past experiences which have operated to the detriment of the Club. No refund will be made for shorter period “cancellations” due to late arrivals or early departures.

Children

All children (except those 2 years of age or younger) must be paid for regardless of age. Members’ children who are 16 years and over must pay full visitors rates (or full Member's rates if a Member). 

How are Bookings Decided?

After the initial member's booking period closes they will be allocated beds, the remaining vacancies will be allocated to Members and temporary members at the discretion of the Directors, having regard to the Club’s booking rules.

If bookings are received from more than 12 Members for a particular period, other than during school holidays, a ballot will be held. For the school holidays, bookings as usual will be arranged by the Directors in what under all the circumstances is the most equitable manner.

Booking Notification & Payment

After the allocations have been completed, a note will be sent to all relevant Members and temporary Members advising them of the dates for their bookings, the amount due and the date by which the money is payable. 

If accounts are not paid within 7 days of advice of confirmation, the booking will be re-allocated in the Directors’ discretion without further notice. 

In view of past liberties taken to the detriment of the Club, this Rule will be strictly adhered to. When moneys are sent to the Booking Officer please make sure that your name and address are included with your cheque or EFT payment, and (if by mail) preferably forward a stamped self addressed envelope
