Guidance to firms

This guidance is for those firms who have received the CDS 14 and 15 online product as a document accessible via your gmail or google mail email account. If you have obtained the product as an excel spreadsheet then how you "share" it online with your clients is a matter for you.

The originals you have been sent first need to be copied. Open the original and click within the google documents menu "file" and then "make copy". Rename the CDS 14 online , say, "My CDS 14 online". Do the same with the CDS 15 online.

Now enter your firms details as appropriate on your own new CDS 14 and click "file" and "save".

When you are ready to "share" your CDS 14 and/or CDS 15 with a client this is how you do it:

Click file on the google menu and "Make Copy". When prompted rename the copy "Surname of client CDS 14" (or 15 as applicable).

Then the copy you have made with the new name replaces on your screen your original.

It is worth checking the form is set for UK GMT. Go to "file" and "spreadsheet settings" and select as appropriate.

Then top right click "Share"

Then "share settings"

Then in the box against "Private" click "Change"

Then select "Anyone with the link"

Then select "Allow anyone to edit (no sign-in required)"

Then click "Save"

Then copy the long web address in the next box that starts http etc. Highlight it and press ctrl + c on your computer.

Compose an email to the client and enter into the message box the link by pressing ctrl + v on your computer. You can repeat this process if sending two online forms. Note that an email from a gmail or google mail account will allow you to insert the long web address to the clients' forms by highlighting one word or more in your message then clicking the LINK icon (a small chain) and inserting the address into the box that appears (use ctrl + v, if you had just copied the address from the share menu.)

Send the message with an appropriate explanation. (You can adapt the wording provided on this LINK.)

The client clicks on the link or links you provide and they can then complete the online CDS form/s and you can see the result and check if and when it is ready for the client to print off and sign.
