Summary
1. Facilities:
a. Reserve LCHS cafeteria with school office
b. Provide janitor with table set up map the week of the event
c. Requested all extra tables and equipment be moved out of the cafeteria so the side walls were all open for the hosting countries
2. Girl Scout logistics
a. flyer
b. submit money earning form to GSGLA
3. Sign ups for hosting at Jan and Feb GS leader meetings
a. much more difficult than expected to recruit hosting troops
b. suggest opening up event to all grades; we were told to limit to K-‐6
c. we had 12 hosting tables, including our own; 2015 and 2007 had 13 tables but 2006 had 18
d. Received multiple compliments from troops that they liked that the event was not so crowded
4. Communication with hosting and non-‐hosting troops
a. Emailed leaders when registration and payment received
b. Email hosting and non-‐hosting leader instructions at least 2 weeks in advance
5. Passports and Tickets: our troop decided not to do passports or tickets because there are often long lines at the tables to provide/take tickets and stamp passports. Most of them end up in the trash anyways.
a. We requested the girls visit each country once, in the instructions that are sent to leaders in advance, and at the opening ceremonies and it worked well
6. Game:
Rather than passports and tickets, we had a game. The girls were asked 10 questions about the hosting countries. We asked that the leaders email 3 fun facts to us in advance and include those facts on
their poster. Some of the information was not on the posters but at least the girls were looking. We posted clocks above each country flag that represented
the time in those countries and there were large flags for almost all of the countries represented.

b. prize for participation (squeeze ball-‐Snoopy or color changing)
c. different prize for participation in game (2 color changing pencils)
7. Awards: Each hosting troop received a certificate. Another prize for hosting troops would have been nice but didn’t think of that until after the event. We did not use the nomination method which was used
in the past because as hosting troop leaders, we never filled it out so didn’t think many other troop leaders would.
8. Organizing troop provides
a. Decorations
b. Patch (we ordered from Snappy Logos; suggest 225 but will depend on your registration numbers)
c. Prizes, awards
d. Table covers for check in/out table
e. Water – Trader Joe’s donated 7 cases of 24 bottles; make request in Dec or early Jan
f. Paper towel/napkins in case of spills
g. First aid station
h. Check in envelopes: patches, game sheets and evaluation form
i. Blue tape to hang decorations on walls
