What leaders need to do between March and May...get GSGATL approval to travel

Review the requirements for adults attending HHMake sure between you and other chaperones all requirements will be met. Requirements are listed below
Use Camporee Pre-Approval Form. Do not use the GSGATL Trip Approval Form that's on their website, as this is for other types of travel.
Once you have all of the requirements met, complete your form, send a copy to dunwoodygshh@gmail.com by May 1.
Please make sure you’ve got these requirements covered BEFORE submitting your form. Submitting your form before these items are handled causes extra work for GSGATL and your Dunwoody HH volunteer team!

What leaders need to do the month prior

Confirm girls attending. If you have girls who can't make the trip or need to request another girl be added to your group (will be put on wishlist), please notifiy the HH Coordinator by emailing dunwoodygshh@gmail.com.
Send troop families the required forms You must have these completed forms for each adult and girl upon checking into camp!
Required forms for adult chaperones:Adult Behavior Expectation Agreement, GS Health Record for Minors and Adults, and a YMCA Release and Group Waiver Form are located under the Downloads Tab
Required forms for girls:GS Health Record for Minors and Adults, GS Council Activity Permission Slip, YMCA HH Health Release, and the YMCA HH Activity Permission Slip are located under the Downloads Tab

What needs to happen the week prior to camp

Collect required forms and make sure they are grouped by form (not girl).
Finalize transportation plans.
Confirm drivers and prepare your driver information log.

What needs to happen 24-48 hours prior to camp

Notify HH Coordinator of any changes with your troop attendance.
Print copy of your troop's activity schedule and the weekend itinerary. You need to bring a copy with you.
Double-check to make sure you have the required forms for EVERY ADULT and GIRL coming to HH.
Inform girls' parents that cell coverage is minimal. It's quite possible you will not be able to post photos, send texts or receive calls while you are at HH. The best thing to tell parents is that no news is good news and that you'll check in on Sunday morning when you're on your way back.
Pack your day pack: Print all docs attached and mentioned above, plus your troop directory with emergency contact info, put them in a plastic folder or ziplock to keep dry. Keep the folder along with your troop’s sunscreen, bug spray and a first aid kit in a backpack with you all weekend at camp. You’ll be all set!

Before you get in the car:Pre-road trip health checks: Assume someone will arrive at camp with lice and/or the stomach bug. To ward off having to deal with this yourself, ask your parents to do a lice and fever check before their little darlings leave home Friday, and tell them you’re going to do a lice and fever check before anyone gets in the cars to go to camp. Remind them how it would be best to avoid embarrassing anyone in the parking lot if at all possible. And keep checking those heads in the weeks to come.

Requirements for adults attending HH (for both GSGATL and Dunwoody GS)

Leader - At least one of the adults MUST be one of the troop’s registered leaders.
Registered GS - ALL adult chaperones MUST be registered GSGATL Volunteers. Go to the GSGATL website and log into MyGS to view a list of all registered girls and adults for your troop. If they aren’t registered already, you need to get them registered!
TIME SAVER TIP: Go ahead and get your troop registered for next year during spring registration to take care of that and getting your chaperones registered at one time.
Background check - Each adult attending MUST have a background check on file with GSGATL. The process takes 3-7 days for approval.
Training - At least one of the adults MUST have completed the qualifying GSGATL Camp/Travel Training courses.
- - If you haven’t attended HH or gone camping with your troop before, it's a great idea to take the Trips and Overnights online course.
First Aid/CPR - At least one of the adults MUST have current First Aid/CPR certification. While you don’t have to turn this information in to GSGATL anymore, you do need to provide it prior to the weekend. Remember, this is something that is required for anything the girls do anytime, not just HH. Classes through GSGATL are much cheaper than Red Cross, but GSGATL offers a limited amount of training during the summer – you might want to get this done before May if going this route. Red Cross overs courses for first time certification and recertification, and they also offer a course where about 80 percent of the work is done through online simulation and only two hours actually in an onsite class. We are expected to take care of our own girls in most situations.
