How to use Collaborate Ultra for TT5

The TT5 conference will be using Collaborative Ultra, a platform for virtual meetings. Collaborative Ultra allows for plenary sessions in a 'main room' in which the invited talks, the poster-booster sessions and the round table take place. It also has several 'break-out rooms' in which the posters will be presented. We will use only one link for the entire conference from which you can reach the main room and all the break-out rooms. You can log in and out whenever you want via the same connection - the lobby function for the conference is disabled. When you log in, please provide your correct full name which will be visible to all other participants. Every conference participant will be able to contact any other participant via the private chat - so to know who is who, please provide your correct name.

There will be four groups of users on the conference with slightly different functions: Invited speakers, Moderators, Poster presenters, and the Audience (poster-presenter are part of the 'Audience' outside their own poster room).

Invited speaker

Invited speakers are able to share their screens and/or present documents during their sessions. Invited talks should be around 45 - 50 minutes + 15 minutes for QA. We have planned 1/2-hour break after each invited talk so that there is ample time to engage in further discussions. Questions to the speakers should be sent to the moderator via the chat tool or announced with the "Raise Hand" button in the Q&A period after the talk. The moderator will collect the questions and put them to the speaker and/or invite contributors who have their hands raised.

Moderator

each session will have a moderator. The name of the moderator is given on the program and is marked as such in Collaborative Ultra. During the session, please mute your mic and keep it muted throughout the plenary sessions. Hold your questions until the question and answer period (Q&A) at the end of the presentation. Do not type into the chat or raise your hand until this Q&A period. Once Q&A starts, raise your hand by clicking on the "Raise Hand" icon, and wait until the moderator will call on you. Once the moderator calls on you, you may unmute your mic and state your question. Alternatively, you can type the question into the chat box during the Q&A period and the moderator will speak it out for you.

Poster presenter

each poster presenter is allocated a break-out room during the entire duration of the conference. Poster-presenters can meet at any time in their allocated room with other conference participants. They are expected to be present their posters in the allocated break-out rooms during the poster-session but may also roam around in other poster-sessions. All participants can 'visit' any poster-session (i.e. break out room) at any time and can use the "Raise Hand" or the chat tool to get in contact with the poster-presenter. Please respect the following rules in the break-out rooms:

  • poster-presenters should 'share files' rather than screens or windows as files will stay visible in the room even when the poster presenter leaves the room.

  • visitors should not share content in poster rooms without explicit permission from the room 'owner'.

  • depending on the traffic in a break-out poster room, visitors can use the 'Raise Hand' button, they can use the chat tool for the room or the poster-presenter, or they can directly speak to initiate a communication.

Audience

the audience has a role as participant in the 'main' room. They should:

  • switch off video and microphone, if not invited by a moderator (or a poster presenter in the poster room)

  • ask questions via the chat functionality or the "Raise Hand" button during the QA sessions or in the break-out rooms

  • not share any documents or screens in the poster break-out rooms without invitation by the poster presenter

  • get in contact with other conference participants via the private chat possibility

  • use the specially allocated break-out room 1 if they want meet 'privately', i.e speak to or share content with another participant

Poster-booster session

We will play prepared poster-booster video clips during the poster-booster session in the main room - it may also be possible to have life presentation if a poster presenter prefers so.

Round-table

The round table is a plenary session, in which invited round-table contributors are allocated a slot to present their thoughts. This is followed by a moderated discussion.
