Summer Transfers

Students not returning in the fall

At the end of the year, when you know that students will not return to your school or another elementary school in the district, please enter the following in the Transfer Info page.

  • Entry Date = Aug 1
  • Exit Date = Aug 2
  • Enrollment Status = 7
  • Always check the box for (??)
  • Comment: Enter the name of the school where the student will be attending. We may need to contact this school in the fall .

However, if the students are leaving your elementary school for another SAU16 elementary school, please contact Carrie after the PowerSchool rollover. She can move the student and reduce the work for both schools.

Note: Do not attempt to transfer students from the "Edit Current Enrollment" page.

Entry Codes

Entry codes can be confusing, but it's important to select the best one you can. Here are some tips about how to select the correct entry code:


E Codes

  • E1: Always used on first day of school (90% of students). All students enrolling in the fall have an entry code of E1, regardless of where they previously attended.
  • E2: Rarely used, since this information is not often supplied. (If you have to create a SASID for the student, he/she is probably an E2.)


R Codes

Only use R codes after the first few days of school:

  • R1: Not used at SAU16
  • R2: Not used at SAU16
  • R3: Received from private school
  • R4: Common - received from another public school, including schools in SAU16
  • R5: Received from home school
  • R6: Returning from public institution or expulsion; or high school students that left and returned but last school is unknown
  • R7: High School students returning after dropping out
  • R8: Rarely used. Re-entering from another state but previously a NH student.
  • R12: Common at CMS and EHS. Student moved to another town but remained at the same school.


V Codes

These are mostly used by the SST.

Withdrawing Students

If a student has not arrived by Labor Day, and have not communicated with you, you should withdraw them. Make sure to use the summer transfer dates to do this (Entry=8/1 and Exit=8/2).

Most common withdrawal codes are:

  • W3: transferring to NH nonpublic school
  • W4: transfer to another NH public school
  • W5: transfer to home school
  • W10: student is deceased

Other Fields:

Full Time Equivelency - Full day vs half day:

  • All K-12 should choose full day.
  • Preschool may choose half day.

Grade level: Add if enrolling a new student

Track: For preschool students only. Requires setting a calendar in PowerSchool and then choosing the appropriate track.

District of residence: Choose as appropriate. Some students may be funded by other towns, such as foster children.

Enrollment Status: Defaults to 1, should be changed as appropriate

Full or partial grade program length: Only for PreK and K students. Must enter percentage of the week (ie. 100, 80, 60, 30). This is based on track system at each school.

Promoted Indicator: Defaults to promoted; send a list of retained students to Carrie.

Town Code: See district of residence drop-down if unclear on town codes. Should be same for whole school if you are not a co-op.

District Code: Each school has own district code. Should be the same for all students.
