KHS VPA Meeting Minutes

09/09/21

Attendees:

Emma Hauser (President), Scott Ellis (Treasurer), Rose Hines (Secretary), Connie Plaisted (VP of Concessions), LInda Morrison (VP Special Events), Denise Hammond (VP Tickets & Ushering), Robin Parsons (VP at Large), Katie Mooney, Eric Desmarais, Jillian (Emma’s mom)

Board Member Update

• Resignation of Lisa Crimp

• 2 spots currently available on the executive board

• Emma’s last year as president. Looking for a candidate to work with Emma who will take of next year

• Gift for Lisa for her years of service. A $200 gift certificate will be voted upon in a follow up email

Looking to recruit members to come on board

• Reaching out to individuals who we think may be interested

• Speaking at all events such as concerts, shows

• Post meeting announcements in google calendars

• Look to connect with River Tree Arts to recruit community members

Thoughts on fundraisers and activities for this year

• Annual Appeal

• Boston Trip

• Instrument Drive

• Clynk

• Master Class using funds from Dion Trust

Eric will check to see if staff members can have clink bags in their classrooms?

Ms. Luci will hold clink bags in her room, checking with the environment club to see if they will stuff mail boxes with bags.

Emma will create job description to give parents and idea of what is involved if they are interested in helping.

The instrument drive is more of a recycling effort

• Looking at whether the cleaning instrument is part of the repair costs

• Looking at Dion trust funds ($284.00) for cleaning

• Overseeing instruments that are being lent out and keeping track of them

Emma, Denise, Kate, to help put together a proposal for the Boston trip. Connie and Mandy to help

Eric to send email to parents regarding the Boston trip

Sweatshirts for the music department has been approved ($4200). Sizes and amount were received by Jesse & Eric. Sweatshirts have been distributed as of 10/20/2021

Theater Dept.

• Plan to have live performances, Jeremy is supportive

• masks required, social distancing, seating will be in advance and by household • Asking every member to be vaccinated or a negative COVID test 72 hours prior to the event • Asking for parents to volunteer

• Robin and Denise to meet with Dennis regarding fundraising efforts

Inequitable with sports - from Eric’s perspective there is a delay in getting an equitable solution for the arts. Art guidelines was not created until the first week of school.

Uniforms for the band:

• Cost request will be between $6000-$7000

• Idea to create levels of sponsorship to help support the cost of the new band uniforms

Art - Katie

• To request about $400 (I missed what this would be for)

• Building on hosting a pre-k to grade 12 art show. Possibly an art walk through Kennebunk. Also possible to have at the same time as an end of the year banquet
