1. Welcome (6:38PM call to order)


2. Attendance


Updates from:

Nate Menifield - another busy season planned. Hope to get students out into the wider community in the spring.

Ben Potvin - Fiddler on the Roof is the spring musical. We are currently looking for an artistic director for the production. Word of mouth would be helpful.

Valerie Reid - Improv class has really grown...almost doubled in two different sections. Improv Club is student led and will be up and running soon.

Jane Eyre is the fall play...very stylized and unique play with a lot of roles.

Will continue to look into perhaps moving the fall play earlier.

Katie Mooney - The art dept. is hoping to start up a Photography Club because of so much interest. Department is looking to move to more digital and is looking for support. Also hopeful the new facility will have a digital art lab. Student numbers are steady.


3. E-mail/Contact List

Tom: We hope to clean up this list to take people off the list who no longer wish to be on the e-mail list in the near future

Melanie: Willing to help. Can we send get class lists from the teachers? How about collecting them at plays or events?

Tom: There are multiple e-mail lists...trying to consolidate


4. Fundraising for the 2014/15 Year

Lisa Crimp: Citrus Fruit

Donkey basketball or some other fun event

Faculty Talent Show?

Ben: Bingo. I will follow up with the South Portland Music Boosters


Tom: "Bon Ton" coupon books. Cynthia Domine has already set this up. We have decided to pursue this at this time.


5. "Friends of the VPA" Donation Letter

Jeni: We need to make sure we are not asking for money from other fundraisers if we are also doing an annual appeal.

Melanie: We should advertise in the newspaper our yearly appeal.

Ben: We still need to run fundraisers by the school board before we run any activity.

Debi: Last year, we made with the "Friends of the VPA" Donation Letter


6. Officer Roles

Lisa Crimp has agreed to be the VP and PR


7. Treasurer's Report

Debi: What is the process of cutting checks for various requests?

Tom: We will tighten up this process and Tom will make the final request after checking with the membership.


8. Mission Statement

Membership is happy with the current Mission Statement


9. Community Reach Out for Ad Sales

Lisa Crimp: Would like to turn over the position and split up the list for sales phone calls.


10. Concessions

Melanie: We always have a great turn out. Poland Spring donates our water. It would be great to sell things other than food (i.e. show posters, memorabilia, flowers, etc) We will try it for the first production.

Val: I will ask Ocean Exposure about selling posters at concessions


11. Scholarships

Tom: Over the last couple years we have given out $5,000 in scholarships.

We would like to get more applicants for our scholarship.

Rachel: How about putting the scholarship right on website?

Tom: We should have a plaque to recognize the past scholarship winners.


12. Gift for the Past President

Tom: Cynthia did a phenomenal job helping the organization to grow.


13. New Issues

Rosie: How about the students/cast give money toward awards.



Wish List:

Melanie: Maybe we should allocate monies for each of the VPA departments. The board could come up with a budget each year so each department will know what they can spend.

Lisa: Each department could submit a list for each year as well.

Katie: May need some help buying Adobe6 program for the digital art class. The total cost is $8,500...we may only ask the boosters for around $2,600.

Val: Potential costume/wig request for Jane Eyre

Rosie: Lights for the boys and girls dressing rooms.

Val: I will submit a work order to see if this can be remedied by the maintenance department.

Nate: I will get back to you.

Ben: Lights for Jane Eyre ($300), Z-racks for band uniforms ($250), percussion cart for jazz band festival ($1,000)


Next meeting: First week of February, date to be determined
