Students have access to a calendar that shows all of the activities, excursions, and other important events through an app called TeamUp. This app is used to share event details and students need to sign up for activities through this app as well.
The TeamUp calendar shows all program activities or excursions, along with relevant information like the meeting time, meeting point, if you need to bring anything, etc. In your TeamUp calendar, you'll see:
Weekly Activities
Day Trips
Weekend Trips
Bank holidays in Spain
Recommended events happening in the city
You'll also see some REQUIRED events that you must attend, such as the orientations or integration week sessions the first two weeks of the program, meetings with your mentor, etc.
To download the app in your phone, click here for Android and here for iOS.
Once downloaded, open the app and copy and paste your unique code into the space for “calendar key.” This code will be provided to you by your Barcelona SAE pre-departure advisor up to 3 months before your arrival, and you can also find it in your mentor email a week before arrival.
Alternatively, if you already have the app on your phone, you should be able to click the link sent to you by your BSAE advisor or mentor and it should open directly in the app.
You can choose to view your calendar in day, week, or monthly view.
For almost all of the activities and excursions, you need to sign up in TeamUp if you'd like to attend. Sign ups usually open 2 weeks before the event, with the exception of Weekend Trips, for which the sign-ups open earlier.
You can sign up for an activity/excursion by clicking on the event in your TeamUp Calendar. Within the event, you will see the meeting point and time, a brief description, and more relevant information.
If you scroll down past the description, you'll see a blue SIGN-UP button. Click this button and enter your FULL NAME (first and last, please!) and your email address.
Near this blue sign-up button, you can also see the number of other students who have signed up, how many spots are left, and the list of students who are already signed up.
TO CHECK IF YOU'VE SIGNED UP FOR SOMETHING, you can scroll past the description to the bottom of the event, click on the number of students (example: "14/22") and check to make sure that your name appears in the list of students.
Sign up deadlines can be different depending on the event:
Weekly Activities: sign up at least 24 hours before
Day Trips: sign up at least 3 days before
Weekend Trips: sign up before the deadline provided in the event description.
Once the deadline has passed, the sign up will automatically close. If you missed a deadline but you still want to go, email activities@barcelonasae.com to see if you can be added to the list.
If there is an event that you want to attend but it conflicts with your classes or internship schedule, please write to activities@barcelonasae.com and we will do our best to either allow you to attend late or provide an alternative solution for you.
Punctuality. Arrive at the meeting time specified in the event. We always have room for someone who is 5 minutes late, but not more than that. If you are late for a day trip or weekend trip the bus will leave at the specified time and won't wait for late arrivals.
Read your emails. Sometimes we have last minute changes, and we're able to add you to the attendance list for an event that you asked to be on the waitlist for. Every time you go on a weekend trip, you will receive a reminder email with the itinerary and what to bring a few days before.
Respect guides. We work closely with local providers and we are very proud of the good relationship we have with them. When attending an activity, always respect the guides. Listen to what are they saying and don't wander off.
Sign up before deadline. If you signed up for an activity, then be sure to come! And if you didn't sign up, don't show up. If you signed up for something and then realize you cannot attend anymore, please email activities@barcelonasae.com. Depending on the activity and how far in advance you canceled, we may need to award you an Activities Yellow Card (see the specific TeamUp event for more details) for not letting us know with enough time in advance.
Breaking any of these rules you will earn you a Yellow Card. Two Yellow Cards (if it happens a second time) is equal to a red card, which unfortunately means that you can no longer attend any of the program activities or excursions for the rest of the semester.
STEP 1: Click on the calendar button on your left side menu.
STEP 2: Click on the 3 dots under your current calendar installed.
STEP 3: Click on the option "Remove Calendar".
For semester students, you have the opportunity to join a trip (at an added cost) to Morocco, which tends to run for 4 days and 3 nights. If you wish to sign up for this trip, you will need to fill out the interest form sent to you by our Advising team prior to your program start date.
This interest form is shared with Morocco Exchange, who will contact you with the next steps to follow to secure a spot in the trip. If you are waiting for the email, make sure to check your spam folder just in case.
Please note that if you don't follow the MoEx deadlines to pay the deposit and buy your flights, the spot reserved for you will be offered to one of the students in the waiting list, so it's important that you follow their instructions.
There will be a member of BSAE staff traveling with students to Morocco, but they're not going in an organizer capacity. All questions regarding the Morocco trip should be sent to info@moroccoexchange.org.
