YEAR END REPORT
Report prepared by Randy Kay, Coordinator of Volunteers
Working Group Year End Responses
All 11 working groups completed a standard year end report and survey. Full responses are available below:
Working Group Spending
Working Group budgets ($250) follow the OPIRG financial year, September 1 to August 31. Working Group Spending (as of May 15, 2017) - below:
Amount spent is not always the best indicator for working group activity/success since some groups do a lot of work with very little expense.
Four of 11 groups were approved in second term, three of those groups have not spent any money to date.
Some groups require more than their $250 budget. Working Groups can seek outside funding or request more money from the OPIRG Board of Directors for specific event requirements/needs.
See spreadsheet below:
NEW: I started using a form on the old website in November 2016. The goal was to capture volunteer interest in various working groups and general volunteering, and have contact info for general OPIRG communication purposes.
GOAL FOR 2017-2018 - add a script to the form so working groups selected by the volunteer automatically get notification to follow-up.
The data in the chart (below) shows seven months of input via the website (via form on old and new sites): GCC, CVA, and UIC top three in terms of expressions of interest. (Eco-Friendly, Welcome Group, McMaster Community Engagement, and Turtles of Cootes were added in second term)
NETWORKING GRAND SLAM: Outreach in December at Art Crawl led to meeting a middle-school teacher with a social justice class. We arranged for them to visit campus, meet with some of our working group student volunteers/leaders, went on a hike to west campus to learn about the rehabilitation of the Ancaster Creek riparian zone (in parking lot M), and finished by making buttons at the OPIRG Resource Centre (Pictured above: Miriam from United in Color working group speaking to class)
WORKING GROUP POLICIES
New and returning working groups get orientation and ongoing support. A Working Group WIKI has documentation, FAQ, forms and other information necessary for working groups online and always available.
For 2017-2018 my goal is to have more "flipped classroom" support material available online (Youtube, Google Sites, Docs, etc) so when working groups come together they should already have been exposed to key elements of an orientation, leaving more time for questions and to work on issues and networking (rather than downloading verbal info accompanied by a powerpoint, etc.)
