Lessons Learned

1. Don't publicly share videos of the current year's competition performance until after the show season is over (from practices, football half time, or competitions).  Competition judges may pre-judge our performance based on previously posted videos and cost the band points.

2. Don't publicly share last name or last initial.  Retouch the image to blur the last name/initial before sharing.

Update Event Index

1. Identify files' event and event date

   • If the event cannot be identified allocate files to the school year

2. If new event or school year then proceed to New Event Index or School Year (see below)

3. In the appropriate row (event or school year):

• 1. In column A enter the properly formatted event name (this is used to rename image files so you want to get this right the first time).

  2. In Pics? column enter "Y" if pictures are available

  3. In Vids? column enter "Y" if videos are available

  4. In Comments column add comments as appropriate

  5. Column E is intentionally blank for presentation purposes

  6. In Sources column enter the sources of the pictures and videos

4. Exit the Event Index sheet (close window); the file is automatically saved

New Event or School Year

• New school year:

  1. In the Event Index insert row and add school year info in column A

• New event:

  1. In the Event Index insert new event row in proper location

  2. Enter the new event in column A

     • Event should be based on existing events and in the following format:

       • [YYYY-MM-DD] - [Event Name]

       • Do NOT include a dash in the Event Name (they are used as delimiters in the filename)

       • The first day of multi-day events should be used to represent the entire event

       • Examples:

         • 2018-10-13 - MSBA @ Mason HS

         • 2018-08-24 - Game 1 Hilliard Darby

         • 2018-07-23 - Band Camp

YouTube Video Posted

1. Receive email notification of newly posted YouTube video.

2. Download YouTube video with the "dl-youtube" application and upload file:

   1. Run" "youtube-dl --add-metadata --write-all-thumbnails --embed-thumbnail --write-info-json [Youtube URL(s)]"

      • This command to downloads the best available quality file and embeds available metadata into the file

      • If these files are >1080p they may not play on every player and I put them in the "Better Versions (>1080p)" folder (local and online), otherwise they go into the "YouTube videos" folder (local and online)

   2. If downloaded is a non-MP4 file, then run: "youtube-dl -f 'bestvideo[ext=mp4]+bestaudio[ext=m4a]/bestvideo+bestaudio' --add-metadata --write-all-thumbnails --embed-thumbnail --write-info-json --merge-output-format mp4 [Youtube URL(s)]"

      • I run this command to download the best available MP4 version of the video

      • MP4 files run on pretty much every player and go into the "YouTube videos" folder (local and online)

• • Note: I don't rename files downloaded from YouTube so I can match downloaded videos to YouTube videos.

Uploading Files

1. Check account quotas to confirm all uploads will complete.

2. Upload the files

   • Pictures

     • From account bandpics1 open the target school year album and upload pictures to Google Photos 

   • Videos - needs update

     • Upload video (up to 1080p) to Band2 Google Drive. and move to the correct folder.

     • If >1080p video is available also upload that to "original other videos" and move to the correct folder.

3. Update the Event Index (Pics?, Vids?, Comments, and Sources columns) if necessary.  See Update Event Index (above) for details
