The Photo Librarian has 4 functions: Acquire, Organize, Protect, and Share band pictures and video. The Librarian must implement, monitor, and maintain technology to support these functions and also support the ongoing operations of new pictures and video being added to the library.
Acquire
Receive pictures and videos from the band's photographer(s) and videographer(s) and solicit pictures and video from the OHS band community.
Search out and obtain pictures and video from other sources.
Organize
Enable files to be identified by year and student where possible.
Protect
Ensure pictures and videos are stored, backed up, and not lost.
Share
Make pictures and videos easily browsable and downloadable.
Acquire
Coordinating with photographers a videographers and downloading files as available.
Organize
Maintain an Event Index of band events, their date, and any other relevant information.
Set up albums for individual students linked to Google's facial recognition feature.
Set up an album for each school year.
Protect
Implemented 3-2-1 backup scheme with the following copies:
Librarian's home PC.
Librarian's off-site backup (using Backblaze B2) of home PC.
Uploads to Google Drive of Band's OMBA GSuite for Non-Profits accounts.
3-2-1 backup best practive requires the following:
3 copies of the data
on at least 2 different media (we use 3 different media [1 local and 2 different vendors])
with at least 1 copy off-site [we have 2 copies off-site (2 different vendors])
Ensures that the loss of any single drive, computer, building, person, account, or internet service won't cause permanent lose of any media files.
Share
All files have been organized by school year albums and may be browsed and downloaded from Google Photos.
Created individual Google Photos albums for each student that Google Photos has made a face group for.
Anyone with a Google account may access the Google Photos alums links to share the photos to their account.
Access the photos from within their Google Photos.
Doesn't count against their account storage quota.
If the BandPics1 account, the albums, or the photos disappear they lose access to the files.
Ongoing task of managing newly available pictures and video. This includes downloading new files, renaming with descriptive information, uploading files to Google Photos and Google Drive, and moving files to correct location for ongoing PC backup. Also maintains Event Index.
Ongoing task of managing face groups and albums as new files are added to Google Photos, creating new albums when new members are added to the band (including middle schoolers from middle school night), and responding to corrections submitted by the OHS band family.
Ongoing task of monitoring and managing technology infrastructure that support the Photo Librarian function, identifying and implementing technology or automation to simplify Librarian tasks, anticipating vendor product changes and implementing alternative technologies to deliver required functionality.
