Action items:
Share the Blended Learning Attendance Guidance with your teachers
Share the Registration & Enrollment Guidance with your front office staff
Emphasize with your team that student schedules must be created for students ASAP when a student enrolls
Exercise caution when receiving change requests for A/B learning groups
Again, we are working on creating a central location for all the presentations and guidance documents you and your teams need. I hope to have more to share with you on that next month.

School leaders,
I spoke with Dr. Polk and Dr. Mouse this morning, and we need your "No Shows" to be completed by NOON on Tuesday (9/22) to enable us to process those and re-assess the hybrid learning groups. After this, we will re-run the A and B groups to balance your hybrid groups and that "V1" flag that I showed you yesterday at the Principals' Meeting will be replaced with an A or B. We are asking for the noon timeframe so that we can have this information ready for you for your PLC day.
You'll receive information about running a school level report, and the flag will show on teachers' rosters as well. This timeline will enable you to review if there are any problems with the lists on Wednesday (like, say, students whose family has multiple households) so that we can make limited adjustments before we work together to cascade communication.
To sum up:
9/22 @ NOON --> your school must complete dropping students who have not attended
9/23 --> your team will be able to review the assigned A and B groups
9/24 --> you will flag any problems or adjustments that need to be made to the A and B groups
9/25 - 9/28 --> district-level communication to families about A and B groups will begin
There are links within the guidance docs that show the attendance guidelines (i.e. what counts as participation). Unfortunately, we don't have hard rules like "a student must be logged in for X minutes to count"... we just have to use our best judgment, and I would advise that the spirit of the rules is that we should err on the side of marking students as participants if we have evidence they are trying. As with physical attendance, issues of engagement and academic progress are not the same thing as issues of attendance.

Amazing School Leaders!
Hot off the presses is our best effort to give you some guidance regarding student attendance and no-shows for this school year.
SY2020-21 Guidance on Attendance and No Shows
Our PRE and Enterprise Services teams will be rolling out to you a 'Participation by Student" report this afternoon in Infinite Campus which you will be able to use to monitor student participation and that teachers are entering it. Next week, you will receive from us a special report that will identify your students who have not yet participated (i.e. "No Shows").
We also created a version of this document specifically for teachers that focuses on the pieces relevant to them.
SY2020-21 Guidance on Entering Student Attendance
The most common problems we are seeing in the data so far are:
teachers not entering participation,
e3 teachers marking participation only on one day rather than for the whole week, and
participation not entered on Wednesday (virtual learning day).
PRE and Enterprise Services are at the ready to continue to answer your questions and problem solve the details that we are all figuring out together on this new type of attendance-taking. They will be sharing this information with your front office staff today as well and continuing to provide direct support to those staff members.
BONUS - your schools are receiving bundles of ear buds and/or head sets that have been donated by generous partners through the Foundation. You may issue these to students who need them as supplies. They do not need to be checked out or tracked as inventory. PLEASE TAKE PHOTOS if you can and share them with me.

Friends,
Thanks for your patience as we are figuring out how to support this new technology-enabled learning ecosystem and to get our families plugged in for 2020-21.
A few updates as we prepare for our Plug-in OKCPS Week tech distribution on August 24-28th from 10am-1pm and 4pm-7pm at all school sites. Here is a link to the information I shared yesterday for your reference.
1. I confirmed with Anika that sanitizing wipes and other PPE items will be sent through the couriers to your schools next week to support Plug-in OKCPS Week tech distribution. Please make sure your front office staff is aware that these deliveries are for that purpose.
2. We have published the WWW - Plug In OKCPS Survey tab to Infinite Campus, and here is the script protocol with a link at the top to the Spanish translation for your convenience. This link will ask you to make a copy to insert any site-specific information you wish to provide families before sharing with your teachers and staff. Bernie is working on producing rosters for you to use to divvy up unscheduled students, etc, but we decided to let more enrollments process before finalizing to give you the most up-to-the-date information. He will share those on Monday.
3. I think I got answers to all the questions from the Admin Team meeting yesterday. If you have more questions that are not in this FAQ, please email me or text me, and we can add to this document.
4. Central office teams are actively reserving time in their schedules to help out. You can see who is planning to come to your school on this sign-up sheet.
5. Our first pilot tech distribution is at Webster on Monday 8/17 -- we may tweak some of our guidance based on what we learn there and at Heronville on Wednesday. Three cheers for Victoria and Karen for embracing guinea-pig status!
6. Here are copies of some of the resources that will be provided to you and to families. We are working as fast as we can to get more resources produced and translated, and we welcome your input on what might work for your families or be helpful to your staff in this brave new world.
Lastly, the STILL IN PROGRESS guidance document for Plug-in OKCPS Week tech distribution is attached. Please know that this will continue to evolve as we learn from the pilot distributions next week. We are constantly in communication with your librarians, who are the site champions for check-out and distribution. As a reminder, there are also general empowerOKCPS FAQs that we shared a couple months back for your reference as well.
