All RSOs wishing to hold a meeting or event (also includes any presentation, panel, or speaker) must submit this form to Student Life as outlined below. Please see the RSO Policy Handbook for full details of these policies.
For on-campus meetings/events that do not involve a speaker/presentation (internal or external), this form is due at least 5 business days prior to the event.
For off-campus meetings/events, this form is due 30 days prior to the event.
For meetings/events that involve a speaker/presentation (internal or external), the RSO Guest Speaker Form is due 30 days prior to the event with this form being submitted after speaker approval but at least 5 business days in advance.
Prior to submitting this form, please check the NYITCOM at A-State COM-wide Calendar to avoid conflicts and over-programming. Do not commit or confirm any resources or individuals to a date until that date is confirmed with the Office of Student Life.

All organizations and interest groups must complete this form for each event.
Please complete this form shortly after the completion of your event. All events must track attendance.
If your speaker is NYIT faculty or staff, you DO NOT need to fill out this form.
For RSO meetings or events that involve a presentation from an speaker (internal or external) this form is due 30 days prior to the event. Any student organization or individual student wishing to sponsor an extra-curricular activity which includes a speaker must have prior approval from the Office of Student Life before inviting the speaker to participate in the event.
RSO Leader discusses desired speaker with RSO Faculty Advisor
Faculty Advisor makes initial contact with the proposed speaker to find out costs, available dates, credentials, etc.
Faculty Advisor communicates with RSO leadership to share information so leadership can submit guest speaker form.
Office of Student Life processes guest speaker form. If any contracts are involved, those must be submitted to the Office of Student Life for appropriate review by NYIT legal and signature by the appropriate Vice President 30 days in advance of the scheduled event.
Once the guest speaker form is approved, RSO leaders will submit an event registration form and reach out to the speaker to coordinate details.

At the request of ATG, all events requesting ATG support must submit a ticket through their online ticketing system. https://nyit.samanage.com/
All Proposed RSOs must submit an RSO Application Form. Applications may be submitted for review at any time throughout the academic year.
All existing RSOs must submit an RSO Renewal Form between March 1 and one week prior to the first SGA General Council of the academic year.
Failure to submit the RSO Renewal Form may result in the RSO being placed on RSO Suspension Status until the renewal items have been received and it can be approved at the next scheduled SGA General Council meeting.
NYITCOM at A-State SGA will review your submission. Please keep in mind, if approved, interest groups must be active for a semester before applying to become an RSO.
Interest groups do not have a formal leadership board (president, vice president, secretary, treasurer, etc.), faculty advisor, or SGA funds. Interest groups only have a point of contact and IGs may apply for action funds.

NYITCOM at A-State will review individual student requests to attend one national conference per year if the student is representing NYITCOM at A-State in an officer related position in the NYITCOM at A-State local chapter of the national organization or is making a presentation at the conference. All such presentations must represent work that was completed at NYITCOM at A-State. First year students have limited eligibility.
Official RSOs may produce designs promoting themselves and their events. They cannot produce designs promoting NYITCOM at A-State departments, department programs or NYITCOM at A-State in general. Exceptions may be made with permission of departments and approval of NYIT Communications and Marketing.
All designs must be emailed to the NYITCOM at A-State Office of Student Life who will consult with NYIT Communications and Marketing for review and approval prior to production. RSOs should not place orders without appropriate approval. Approval time will vary due to Communications and Marketing schedule (anticipate an approximate 5 business day turn around).
