How we recommend completing this training
(access to CRN-WM EMIS dummy system recommended)
Use the videos to create your own template!
The videos in this section have been designed in order for you to replicate the face-to-face training ROST delivered to Research Nurses in early 2020. Your feedback told us that this training was more effective than previous sessions, with the opportunity to be guided through the process to develop your own template, resulting in an increase in user confidence.
EMIS access - Please see the section titled [ EMIS access via RWT ] for details on how to request access to EMIS on your RWT laptop, via the RWT IT department
CRN WM EMIS dummy system access - Please contact the ROST inbox at rost.crnwestmidlands@nihr.ac.uk for any queries relating to the creation of accounts or resetting of passwords
Although viewing the videos alone will give a good refresher on the skills required to build templates, we recommend viewing and pausing the 8 videos below in the 'template building' section, whilst also working through the guidance on the CRN WM EMIS dummy system, in order to create your own resource.
Due to the restrictions on Internet access whilst logged onto EMIS (through the RWT VPN connection), you will need 2 devices open in order to view the chosen video at the same time as constructing the template within the CRN WM EMIS Dummy system.
Template Building

1. System navigation > Create folder > Add Text to template design
Video 1 - Navigation & folder creation
Navigate to Template Manager - The area of EMIS where we create clinical templates
Create a new folder - Clinical systems can soon become cluttered with templates! Its good practice to create a folder for each search designed
Add a Text to a template - Our first step is to give out template a name!
Tip! - When working at GP practices - there will often be a created folder for 'CRN Research' within 'Template Manager'. This enables us to import study templates into a designated area for our work and not interfere with resources created by practice staff for their day-to-day use.

2. Study Consent > Value & Text Pick List Functions
Video 2 - Study consent section
Add and name a new section - This helps split the design of the template into sections for different purposes
Value pick list option – Used to give an option of a different value linked to a single clinical code. Useful for automating the addition of the Study CPMS ID.
Text pick list option – Used to offer an option of different text answers to a question. This information does enter the consultation record but isn’t linked to a clinical code.
Tip! - Recreating the paper-based CFR - give careful consideration to your template design to ensure the order of activity within the nurse research appointment is reflected by the order of completion on the EMIS template

3. Demographics > 'Code Browser' function for recording ethnicity
Video 3 - Demographics section
Code browser option - used to select a headline clinical code which results in the child codes being available for selection from a dropdown box within the Template.
E.g. selection of the headline code for 'Ethnicity Category' will result in all the different categories nested below that code being available, in order to confirm and record the patients ethnicity.
Tip! - Help for the GP Practice - when designing your template, there maybe additional fields not present on the study CFR, that may help the practice if collected within a research appointment .... such as Ethnicity

4. Lifestyle - Using 'Code Pick List & 'Single Item' functions
Video 4 - Lifestyle section
Code pick list option – used to select 1 from any number of clinically coded options from a drop down box.
E.g. This option can be used to record a current status with regards to smoking (Current / Never / Past)
Single item / clinical code option - used to add a single fixed Clinical Code, usually with a field to add an associated value within the template (dependent on clinical code selected).
E.g. a code for consumption added with a value (for example 20 cigarettes per day)
Tip! - Template design - take care to label the template appropriately if one questions completion is dependent on the answer to the previous question. E.g. a question on cigarette consumption is not relevant if the patient is a non-smoker.

5. EMIS Template - Examinations - 'Common Components' & 'Pre-Defined Text'
Video 5 - Examinations section - part 1
Common components option - ready-made tools which can be used to standardise calculations
E.g useful tools for consistent, coded recording of results such as BMI & Blood Pressure
Pre-defined text option – used to enter fixed text into consultation record upon completion of a tick-box.
Tip! - Template design - When using the 'Pre-defined text option' , the text entered into the template design needs to always be a statement in order to avoid entering an open-ended question into the Consultation record.

6. EMIS Template - Examinations - 'Annotation' & 'Yes No Prompt' Functions
Video 6 - Examinations section - part 2
Annotation option - to insert a picture that can be amended, to show where on the body a procedure has taken place. Completion of this is also linked to a Clinical Code entered into the patient record.
Yes/No prompt option - used to add a related Clinical Code to the Patient Record, as a result of either a Yes or No answer to a set question.
E.g. whether an NHS Health Check has been offered and accepted or declined
Tip! - Template design - Be sure when incorporating the 'Yes/No prompt' option into your template design that clinical codes exists that accurately record the outcome of each answer

7. EMIS Template - 'Launch Hyperlink' & 'Enter Free-Text' Functions
Video 7 - Additional information section
Launch hyperlink option - used to embed a hyperlink to a related internet resource, such as a Study Website or link to a Patient Information Sheet
Enter free text option - used to enter a field available to the user to add any additional information in a free text, un-coded format.
Tip! - Template design - Linking to internet resources may encounter accessibility issues at GP sites which will require testing before use

Dummy patient - How to locate and launch a dummy patient record
Adding a new consultation - navigating through the dummy patient record to enable a new consultation to be opened
Launching & completing the template - Finding our new template and launching within the consultation record, before completing and saving the contents.
Tip! - Template Launch - If you are using a template for multiple records at one time, you can add the template to the F12 launch menu to enable ease of access.
