Term 2: Establish the KTap List
RTLB Liaison from Waimea Intermediate School will send an email to contributing schools' SENCos to start the process of the KTap each year. The email will detail the following:
The SENCo to establish a list of all students that fit KTap criteria in Term 2.
Once complete SENCo to email KTap student list to the Inducting School RTLB Liaison and your school's RTLB Liaison.
SENCo and RTLB Liaison will have this KTap student list.
Deadline date for KTap list to be emailed is Monday, Week 9, Term 2.
Please note: If other students present as KTap candidates later in the year they can be added to this list. This process will be entirely directed through the KTap and Waimea Kāhui Ako.

Term 3: Create the KTap
RTLB Liaison from Waimea Intermediate School will send an email reminder to begin engagement in the Term 3 KTap process. The email will detail the following:
This email is to update you on the required KTaP process for Term 3. As we are now using a digital platform the process has now changed. Please be aware of these changes. Attached are two additional pieces of information specifically regarding the process.
The following details the process required for Term 3:
Teachers/SENCo are required to produce KTap forms during Term 3 on etap.
Please complete all the fields fully where possible.
The RTLB School Liaison team will cross reference the KTaps with the list created in Term 2 to ensure no students are missed.
All KTap transition forms will be need to be fully completed and submitted via Etap by Week 1 Term 4
Any additional digital information the school holds on KTap students can also be emailed at this time to Inducting School SENCo.

Whānau and Student Voice Requirements - optional in 2025
It is preferable that this is completed at home in a family discussion. In order to meet the deadline the Contributing school will need to send whānau and student voice forms home in Term 3 Week 5 and collect in Term 3 Week 9 or before. Accordingly this information could also be captured at opportunities that already exist e.g. mid year conferences, IEP hui etc. This is pertinent for whānau who may need support to complete this document. If whānau are reluctant to engage then student voice can be gathered at school. Whānau only require Section 2 of the KTap document.
NB Consider early start transitions (extra discussions and/or student visits) for the few who need this

Term 4: Inducting School
Inducting schools to action the KTaps via their processes. Ideas on what these processes could look like, but are not limited to:
Additional visits for students (individuals or groups). Remembering that these could start in Term 3 based on need/s.
Additional meetings with SENCo to discuss KTap students.
Whānau invited to meet SLT/SENCo.
Classroom placements – meet new teacher.
Releasing KTap information to teachers before end of school year.
Classroom supports and accommodations in place for Day One.
School wide supports established: e.g. Check and connect.
RTLB Induction Liaison to discuss KTap students during Liaison meetings.
Information on students who have KTaps will be added to the same KTap form as students progress through schools in the Waimea Kāhui Ako.
Term 1: Monitoring
Inducting school RTLB Liaison to monitor students via Liaison meetings. Discussions with teacher, SENCo, SLT and whānau will determine whether a full RTLB referral will be considered, based on the success of each individual transition in Week 6 Term 1.
