Vendor Policies

Event Date: April 13, 2024          *Application Deadline: March 25, 2024*


Vendor Entry Form:

All vendor entry forms must be submitted by Monday, March 25th by end of day. All vendor entries will be reviewed by the Communications Team and the Superintendent. If there are any questions/concerns about your entry, someone with the Communications Department will contact you prior to the date of the event. Each vendor’s representative will receive a link to the Maps/Layouts for reference. Link can also be found in the Cultural Arts Section of the HISD Website.

Vendor Fee:

Businesses, for-profit organizations and arts & crafts vendors must pay a $50 fee prior to the day of the event. Fee must be paid on or before Thursday, March 28th at 4PM. Payments will be accepted at the Business Office at 102 Genevieve Dr between the hours of 8am-4pm. CASH OR CHECK ONLY. Made out to Harlandale ISD. There are no refunds for this event.

Vendor Rules/Regulations:

No items related to alcohol, tobacco or profanity will be allowed at the fair. The items sold must be appropriate for our students and must adhere to our student code of conduct and our student dress code. Vendors must be present during the event. No dealers, agents or representatives will be permitted. Spaces are limited and vendors that qualify will be selected through a drawing. An email will be sent out (after the application closing date) to confirm or deny participation in this event.

Sales:

Vendor is responsible for all sales and exchange of funds. Vendor must provide their own change. In an effort to allow our students and campus organizations to raise money, vendor food/drink sales that compete with our student/campus organization sellers are prohibited.  

HISD Groups/Organizations:

Locking Money Bag: All HISD fundraising groups must use a locking money bag. Money will be counted by the designated group representative and group witness. The assigned money bag deposit slip must be filled, signed & inserted into the bag prior to turning over to the Police - Collection located on fair grounds. Bag can be picked up Monday at the Police Department at 632 W. Vestal by designated group representative.

Fees:  All HISD groups/organzaitons will not be charged a fee for vendor table or game station at our annual event

Fundraiser cap: This annual event does not count toward your annual fundraiser limit and is a great oppor

Setup:

Each business, for-profit organization, and arts & crafts vendor will be assigned to a table at Mission Marquee. HISD will provide every vendor with one 6‐foot table and two chairs. Additional tables, chairs and/or a tent must be provided by vendor. A tent is required for each vendor and is not supplied by HISD.

Vendors may arrive, set up, and decorate as early as 7:00 a.m. on the day of the fair. Entry to the fair grounds will cease at 8:30am and re-open at 11 am after the parade has ended. Please be set up by 10am. The fair’s opening ceremony begins at 11:30 a.m. Vendors are expected to stay until 2:00 p.m. and are responsible for cleaning their area.


Behavior:

All vendors are expected to behave in an exemplary manner. Any rudeness, foul language or threatening behavior will be grounds for the removal of any individual and/or their group from the event and could jeopardize future participation.

Item Distribution:

Vendors may distribute articles, flyers, leaflets, brochures, souvenirs, T-shirts, etc. However, no political endorsements of any kind are allowed on district property. Distribution material must not be offensive, graphic or contain any foul language. Also, no competing food or drink items are allowed to be distributed/sold.

Parking:

Each vendor will receive one parking pass to display on their vehicle’s dashboard. Parking will be available on and around Fair grounds at Mission Marquee Plaza @ 3100 Roosevelt Ave. First come, first serve. Harlandale Independent School District assumes no responsibility for accidents. Rules and regulations will be strictly enforced.
