Game Booth Guidelines

Event Date: April 13, 2024          *Application Deadline: March 25, 2024*


Game Station Form:

Fifteen (15) game stations/areas will be made available to all Harlandale ISD clubs, groups and organizations during the Annual Cultural Arts Festival. Outside organizations will be allowed to have a game booth if space permits. Interested clubs, groups and organizations must complete the Game Booth Application by April 1st to be considered for the drawing. Booths are on a first come first serve basis so please submit as soon as possible to secure your place at our event. 

Game Station:

Game station will be located on the Mission Marquee Plaza Grounds. Please be sure to state on your entry form whether your game will need to be near anything in particular (ie. water source, electrical outlet, etc). Each group will be responsible for bringing their own table, chairs, and/or tent.

Set up:

Game station representatives may start arriving, setting up and decorating as early as 7:00 a.m. on the day of the fair. Entry to the fair grounds will cease at 8:30am and re-open at 11 am after the parade has ended. Please be set up by 10:00 a.m. The fair’s opening ceremony begins at 11:30 a.m. Game station participants are expected to stay until 2:00 p.m.

Breakdown:

Each organization will be responsible for keeping their area clean during the fair and cleaning up before departing. The games must be broken down and the area free of any decorations by 2:30 p.m. on the day of the event.

HISD Groups/Organizations:

Locking Money Bag: All HISD fundraising groups must use a locking money bag. Money will be counted by the designated group representative and group witness. The assigned money bag deposit slip must be filled, signed & inserted into the bag prior to turning over to the Police - Collection located on fair grounds. Bag can be picked up Monday at the Police Department at 632 W. Vestal by designated group representative.

Fees:  All HISD groups/organzaitons will not be charged a fee for vendor table or game station at our annual event

Fundraiser cap: This annual event does not count toward your annual fundraiser limit and is a great oppor

Behavior:

All game station participants are expected to behave in an exemplary manner. Any rudeness, foul language or threatening behavior will be grounds for the removal of any individual and/or their group from the Fair and could jeopardize future participation.

Parking:

Every group will be given one VIP pass to park along the Mission Marquee Plaza parking lot at 3100 Roosevelt Ave. VIP Parking is on a first come first serve basis the day of the event. Harlandale Independent School District assumes no responsibility for accidents. Rules and regulations will be strictly enforced. To pick up your VIP pass please visit 102 Genevieve Dr. on April 5th between 8am-4pm.
