Progress Monitoring Overview

Progress Monitoring is the third phase of the Full Equity and Diversity Impact Assessment (EDIA) process. During Progress Monitoring, the EDIA Team works in partnership with the Department and/or Policy Owner to track progress on their action plan. The action plan is created and implemented to address the findings that came out of the Full EDIA study.

Departments and/or Policy Owners going through this process spend three years providing progress monitoring updates. Each year they are required to submit a mid-year and end-of-year update on their action plan to the EDIA team. The Department and/or Policy Owner are expected to report on short-term actions, which are actions that typically need to be completed within a short window of time such as a task and/or long-term actions which are actions that can be either a project, program, or practice that is meant to exist for a long period.

Short-term action items are reported as either complete or incomplete. The EDIA Progress Monitoring process utilizes what’s called the Implementation Science Framework to report the status of long-term action items.

The Exploration Stage is about exploring, researching, identifying, and potentially piloting innovative strategy/ies, practices, approaches, or ways (how) to address the EDIA finding(s). Through this process the department/policy owner gauge the readiness of staff who are implementing the strategy, determining what resources are needed in order to proceed, how feasible it is to implement, and creating buy-in from relevant stakeholders.

The Installation Stage is about securing and developing the support needed to put a new strategy, practice, or approach into place as intended. The department leader/policy owner are building the infrastructure and foundation. During this time, they are creating feedback loops between implementers, leadership, and other relevant stakeholders to ensure that there’s streamline communication and a process for gathering feedback on how things are implemented.

The Initial Implementation Stage is about trying out the new strategy, practice, or approach, and getting better in its implementation. During this time, the department leader/policy are gathering data to understand how implementation is going, developing improvement efforts based on the data, and implementing these efforts. Additional resources and supports may be needed to implement with fidelity.

Being in the Full Implementation Stage means that the department leader/policy now integrated this strategy, practice, or approach into your culture and system that it becomes second nature. Continue to monitor progress and ensure the sustainability of the strategy, practice, or approach.

Progress Monitoring Dashboard

During the 2021-22 school year, two departments are monitored - Human Resources and Student Placement. A high-level overview of each department’s short-term and long-term actions are reported on the dashboard shown below. The expectation is that all action items are completed or in full implementation by the end of the three years of progress monitoring.

  • Human Resources Full EDIA: Human Resources was in Year 3 (the final year) of progress monitoring. This means we will no longer be formally monitoring action items. Both the Human Resources Division and Equity and Integration Department partnered to create and implement an action plan to address the findings from the HR EDIA study. There were a total of 17 long-term action items and 3 short-term action items. By the end of the 2021-22 school year, 82% of long-term actions are in Full Implementation, 0% in Initial Implementation, 18% in Installation, and 0% in Exploration and all three (100%) short-term actions are completed. For any action items that are incomplete or not in full implementation, they will be embedded into each department/division planning effort.

  • Student Placement Full EDIA: Student Placement completed Year 2 of progress monitoring. Student Placement created 29 long-term action items and 23 short-term action items to address the findings from the Student Placement EDIA study. By the end of the 2021-22 school year, 66% of long-term actions were in Full Implementation, 21% in Initial Implementation, 3% in Installation, and 10% in Exploration and 96% of short-term actions were completed.
