What follows in the plan below aims to serve the Blaxland congregation - particularly those who are involved in constructing the Sunday gathering (i.e. the gathering leaders, musicians, powerpoint production etc.)
There is no particular order required for the elements that follow - the gathering leader determines the order. The timings listed for each element are suggestions.
As a general guideline the Blaxland Gatherings follow this pattern:
Week 1 Sunday - Communion Service (AAPB p114-130)
Week 2 Sunday - Morning Prayer (AAPB p18-28)
Week 3 Sunday - Another Order of Service (AAPB p39-42)
Week 4 Sunday - Morning Prayer (AAPB p18-28)
Week 5 Sunday - Prayer, Praise & Proclamation - Form 1 (ACLR 2001 p9-12)
There are Powerpoint Templates for each of these gatherings. A copy of the AAPB can be found here.
Check gathering box for special instructions or handouts.
Foyer
Place Welcome Flags outside
Turn on lights
Open entrance doors
Position bibles in easily accessible spot
Clean-up – remove any items on bench or tables that should not be there.
Greeters
Ready handouts (in the gathering box).
Have Welcome brochures and Welcome Afternoon Tea postcards ready
Note: If the person is clearly a Newcomer it would be helpful to take some time to give some more direction (e.g. Bible, Toilets, introduce to/sit near a member in a similar demographic)
Record the names of any newcomers on the Newcomer Notes clipboard
When service begins sit at back to welcome latecomers and to keep an eye on welfare of congregation
E.g. Does anyone need assistance, water, rug, medical help?
At end of service be at door to direct congregation
to morning tea
hand out any extra pamphlets, etc
farewell and invite newcomers to come again
give welcome pack to newcomers
check church for left articles, bibles, etc
Seek out Newcomers after the gathering – invite to lunch/supper, introduce to other members.
Head count – before the Bible talk.
Mark roll (by the end of gathering, but not during welcoming) - tick/add
Please put the completed Checklist and the Marked Roll back in the box for the office.

During the week liaise with the other person who is on the MT roster with you to plan what you’ll bring
Arrive at about 10:00 and put tablecloths on tables in the hall
Fill urn 2/3 full and turn it on
Get tea pot, 3 coffee plungers, and hot water thermos out of cupboard.
Get teabags out of cupboard and coffee out of fridge. Put 8 teabags in teapot and 3 large spoonfuls of coffee in each plunger. Sugar is in the fridge in a glass bowl.
Put cups and a few glasses (in cupboard below serving bench), teaspoons, and 2 milk jugs (in cupboard above serving bench) on serving bench.
Place food on tables (except things that stay in fridge till serving time).
About 10 minutes before the end of the service pour milk in jugs, get a bottle of chilled water out of fridge, make coffee and tea, put the chilled food on the table.
Serve tea on server’s left side of bench and coffee on the right.
Read instructions about turning the dishwasher on and do that at beginning of serving time. Wash and put away all dishes.
Take home dirty tea towels and tablecloths and wash and return them to cupboards.
