Good afternoon! I have a few important updates to share with you this afternoon. PLEASE MAKE SURE TO READ THE INFORMATION ABOUT ZOOM SETTINGS AND WEBCAMS!
1. ZOOM Settings Update: Due to all the Zoombombing that has been occurring and for security purposes, Zoom is changing our Waiting Room default settings to automatically be enabled. This will change how students have been entering your courses. The following information is what I received from Zoom:
As of March 31st, the Waiting Room feature in our account will be automatically turned on by default to ensure your virtual classes are protected and include only the intended students and participants. Going forward, you must admit your students to the virtual classroom.
How do I admit participants into my class?
It’s simple. As the host, once you’ve started the meeting, you’ll begin to see the number of participants in your waiting room within the Manage Participants icon. Next, select Manage Participants to view the full list. Then, you’ll have the option to admit participants individually by selecting the blue Admit button next to their name or all at once with the Admit All option on the top right-hand side of your screen.

2. Lipscomb-branded Zoom backgrounds: The University Marketing team created Lipscomb-branded Zoom virtual backgrounds, which some faculty might want to use on Zoom meetings. You can access these in a shared Google folder for CTL
One thing to note when experimenting is that the default setting in Zoom is to mirror the screen. So there are two versions of each background, one to use when the screen is mirrored and one when it is not.
3. Webcams: Several faculty members have reached out regarding students who do not have webcams or access to a webcam at this time. The Provost's Office is working on getting some webcams for students to use for exam proctoring purposes. Please email Catherine Terry the names of any students who fits into this category. However, as you can imagine there is a high demand and most orders are being shipped out in several weeks, which is out of our control. This means that IF you are wanting to implement remote proctoring within the next week or so, then you will need to find an alternative method for proctoring the exams of students in this situation. That solution could be letting the student know that you will be looking at their Quiz Log Audit found in Canvas or use a video conferencing app on the phone (if students have that capability). Feel free to think through other creative solutions with the students.
4. Student Presentations: Several faculty members have asked about student presentations.
*If you are hosting synchronous Zoom/Google Meet meetings, students can share their screens and share. This also works for group presentations as one student would run the presentation on behalf of the group. We wanted to go ahead and share some updates that have happened since last week's communication. Remember, UPDATES will be shared on the CTL Keep Teaching Resources site, so please keep checking those updates.
Also, due to the current demand, if you cannot find the answer to your question on the resources site, please complete the CTL Help Request Form. The entire CTL team then has access to the requests to determine who will respond. Unfortunately your email may go unnoticed at this time.
Remember that if you have a technical or equipment issue, that you will need to submit a Helpdesk ticket.
Remote Proctoring: Honorlock is set up and good to go. I want to thank our IT team for the quick response in getting the proctoring solution up and ready to go. You will find resources available on the CTL Keep Teaching Resources site. Here are some important things to note:
Students will need a webcam to use as they will need to do a 360 of their testing space.
Students will need a photo ID (driver's license or student ID will work).
Students will need to the CHROME browser to use.
IT IS THE INSTRUCTOR'S RESPONSIBILITY TO READ/WATCH ALL RESOURCES RELATED TO UTILIZING THIS ADDITIONAL TOOL. You need to be aware of everything in case you need to answer students' questions

You will need to communicate with students that you are using Honorlock and what they will need. There is an example communication to students on the resources site.

Zoom: We have updated some additional information regarding Zoom features on the resources site. Those updates include some secure settings you may want to consider (due to the Zoombombing that has been occurring), Zoom keyboard shortcuts document, AND the automation of your Zoom recordings into Panopto. This means that your Zoom cloud recordings will AUTOMATICALLY transfer into Canvas via Panopto. There are just a few steps that you will need to complete to enable to make sure students can see the recordings. Once again, we would like to thank the IT department for getting this enabled for us as well.
Canvas Studio: Several faculty have asked in the last couple of days how to share Canvas Studio recordings with students as it's a bit different than Panopto. There's a video on how to share your Canvas Studio recordings with students on the CTL Keep Teaching Resources site.

Hello, instructors!
As promised yesterday, I wanted to share the CTL's plan for addressing instructor needs. We have been monitoring today's responses to help determine a plan of action.
The Keep Teaching Resources website we created should be the very first place you look for information. We are adding an UPDATES page that will provide all information in one location and will most likely have some type of update every 1-2 days (including tips & strategies). We still have additional resources to build out as well. We would like to limit the amount of emails that come from our office during this time. In case you were worried you wouldn't hear from us, don't worry. There will still be emails sent with major updates.
To be able to "triage" all requests, we have created a CTL Help Request Form that you can complete (assuming you do not find your answer on the resources site). This way we do not have separate emails going to Al, Hope or the CTL account. We want to host them in one location so we can see if there are noticeable needs that we can address through the resources site. We will be responding during business hours at least 24 hours after submission (hopefully sooner). With your requests, we can determine what type of response is needed....an email, connection with another resource on campus, or a one-on-one virtual consultation through Zoom. You will find the CTL Help Request form on the bottom of each of the pages on the resources site.
The CTL will be offering open office hours this week called CTL Connections. (Click on the link to join the Zoom meeting.) Feel free to jump on if you have questions or if you just need to connect with someone outside your family. We decided not to host training sessions on the individual tools as the videos provided on the resources site would include the same information as a generalized session. You can see all of the recordings from the faculty meetings before spring break on the site as well. This week's CTL Connections meetings will be available on the following dates/times (Central time):

Wednesday, March 25 at 10 a.m.
Thursday, March 26 at 3 p.m. and 8 p.m.
Saturday, March 28 at 10 a.m.

CTL Faculty Fellows: We will be sharing a list of faculty members who have offered to help provide additional support for you during this transition. Please be on the lookout for that list by Wednesday.
General Updates of Good Things in the Works:
-We are working on getting some final documentation signed for Honorlock proctoring service. Once finalized, they will work on adding into Canvas. Please note that if you intend to use this feature all of your students will need to have a webcam.
-We have enabled the Canvas Chat feature (see resources site for a video). This is a great tool to provide Q & A opportunities or to respond during virtual office hours.
- As we are at home during this time, please feel free to send Hope pictures of your remote work space or your virtual background during Zoom meetings. We may have a few CTL challenges for you to complete during this time.
