EXECUTIVE COMMITTEE
The Executive Committee (“Executive”) manages the PAC’s affairs between general meetings. The Executive is composed of the following roles: Chair/Co-chairs/Past Chairs, Treasurer, Secretary, Co-Program and Events Liaisons, DPAC Rep and Members-at-Large. Executive members meet monthly as a group and more frequently in optional subcommittee groups, such as the committees for Traffic Safety, Communications and Staff Appreciation.
PAC EXECUTIVE ROLES [MANDATORY]
The below roles are often referred to as office bearers or key positions that form the necessary structure for the committee to operate and make decisions -- the first 3 roles listed are required for legal compliance for the PAC to function.
CHAIR/CO-CHAIR [MANDATORY]:
Coordination: Leads PAC affairs in cooperation with the Executive and School Administration.
Leadership: Presides at all general and Executive meetings.
Planning: Ensures meeting agendas are prepared and appoints committees as authorized.
Spokesperson: Acts as the official spokesperson for the PAC and serves as a signing officer.
Community Building: Maintains a spirit of cooperation and ensures the PAC is represented in school and district activities.
TREASURER [MANDATORY]:
Financial Management: Accounts for all PAC funds, maintains accurate financial records, and manages deposits and disbursements.
Reporting: Provides financial reports at general and executive meetings and submits an annual financial statement at the AGM.
Budgeting: Drafts the annual budget and plan of expenditures with the Executive.
Compliance: Manages the separate 'PAC Gaming Account' and submits required regulatory reports to British Columbia authorities.
Signing Officer: Serves as one of the primary signing officers for the organization.
SECRETARY [MANDATORY]:
- Record Keeping: Records and files minutes for all general and executive meetings.
- Communication: Posts and distributes meeting minutes and handles PAC correspondence.
- Administration: Records meeting attendance, notifies members of upcoming meetings, and ensures the safekeeping of all PAC records.
- Documentation: Maintains up-to-date copies of the Constitution, Bylaws, and PAC policies.

COPEL | PROGRAM/EVENTS LIAISONS (MAIN & ANNEX):
Liaison: Acts as the link between Program/Event Coordinators and the PAC/Administration regarding dates, budgets, and parameters.
Volunteer Coordination: Assists in recruiting volunteers and develops an annual recruitment plan.
Innovation: Develops and presents proposals for new event or program ideas.
DPAC REPRESENTATIVE:
Advocacy: Represents, speaks, and votes on behalf of the Kerrisdale PAC membership at District Parent Advisory Council (DPAC) meetings.
Information Flow: Receives communications from the DPAC and reports back to the PAC on district-level matters.
Input: Seeks and provides input to the DPAC regarding the school's interests.
MEMBER(S) AT LARGE
Support: Assists other Executive members with assigned tasks as needed.
Flexibility: Serves in various capacities as determined by the PAC based on current needs.
The PAC committee exists to support the school’s board and leadership team by taking on specific tasks and areas that benefit from focused attention. Rather than assigning rigid roles, the PAC operates organically—parents/caregivers step into areas based on their interests, skills, and availability. This flexible approach allows initiatives to grow naturally from within the community.
For example, interest in hosting a Lunar New Year celebration led to the formation of a small sub-committee. Through the passion and dedication of this group, the event has grown into a much-loved annual tradition within our school community.
Below are general descriptions of some sample PAC roles (past and present) to provide a sense of how parents can get involved...
HOT LUNCH COORDINATOR(S): Laise with hot lunch vendors re: ordering, offerings, updates on menus/pricing etc. and organize and communicate with dedicated hot lunch volunteers* Daily Hot Lunch Volunteers are always needed for distribution!.Your committment can be intermittent or consistent/weekly (whatever your schedule allows). Volunteers simply receive, sort, and organize hot lunches - total time required is less than 1 hour. Your help makes a significant impact on the PAC being able to offer the hot lunch program.
MARCOM: Marketing & Communications currently managed through google workspace (google sites/calendar), social channels (FB/Instagram), mailchimp/newsletter
AFTER-SCHOOL PROGRAMMING : Co-ordinate schedules with existing after-school program vendors (+update or evolve programming as needed)
SPIRIT WEAR: Organize and coordinate merchandise options + budget pricing with vendor(s), execute online sales + delivery to students
FUNDRAISING: Organize & manage fundraiser such as: movie night(s). direct drive online fundraiser, 3rd party fundraisers (Dominoes, Purdys, Pie Hole, West Coast Seeds etc). The PAC is always open to developing new programming and ideas based on parent initiative
CULTURAL + SPECIAL EVENTS: Lunar New Year, Grade 7 Grad Committee Lead, Diwali, etc.
TRAFFIC + SAFETY:
PAC LIAISON (CLASS REPRESENTATIVE): Funnel communication from PAC regarding hot lunch, events, programming etc into clean/consistent messaging for PAC Liaison channels
