For participants who let you know that they are not comfortable with photos/video, take notes on the Photo/Video Opt-Out Sheet (e.g., name, school/office/organization, description of distinguishing features), and take a mental picture of the person.

Set-up & collect table cloths for exhibitor tables. Craft paper & blue painter's tape is available to cover tables as needed.
Assist participants with finding sign-in, food, and restrooms as needed.
Assist exhibitors with finding their assigned tables as needed.
At 8:00 am, encourage participants to find their seats for the start of the symposium. The Welcome and Opening begin at 8:15 am.
At 1:15 pm (end of lunch), thank exhibitors and remind them that they may close their exhibits. Provide assistance as needed. Participants will return for the reflection and closing around 2:25 pm - 2:35 pm.

Assist participants with finding rooms for breakout sessions.
Before the session starts, check in with presenters and offer to display "5 Minutes" reminder sign 5 minutes prior to the end of the session time.
Assist the presenters with connecting their laptop to the display as needed. WCC provides a dongle in each room for the display.
Monitor the room capacity and place appropriate sign on the door ("Seats Available" or "Session Full"), using blue painter's tape only on the facility.
Count and note the number of participants that attend each session.
Assist presenters during the 10-minute transition between sessions.
At 2:25 pm (after breakout session #3):
Remove any E Ola Kākou signs from the room and building
Visually sweep the room for any trash or lost items.
